Basic Qualifications

3+ years of administrative and/or accounting experience required. Microsoft Office proficiency and Excel experience required.

Additional Qualifications and Skills

Bachelor’s degree highly preferred. Experience with MIP fund and accounting system preferred. Ability to work collegially in a team environment. Attention to detail, highly organized, strong problem-solving skills, good sense of discretion and ability to appropriately handle confidential information. Excellent written and verbal communication skills.

Position Description

• Manages the Accounts Payable cycle, including payments of vendor invoices and individual reimbursements and research accounting discrepancies

• Maintain monthly journal entry control records, ensuring proper approvals are met

• Manage approval process for checks and invoices and record keeping systems

• Organize and manage records and files including vendor payment files, mailings, tax filings and other compliance documentations

• Reviews financial data and takes appropriate action according to specific guidelines or accounting procedures and suggests remedial measures

• Assist Staff Accountant with vendor/staff inquiries regarding follow-up of payments and or approvals needed for processing.

• Orders, updates, and distributes departmental supplies as needed.

• Annual submission of 1099s

• Performs special projects as needed.

• Provides administrative support to Finance office staff and performs related duties as assigned.

• Follow-up on outstanding checks with vendors

Work Format Details

This is a hybrid position that is based in Washington, DC. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
