Duties & Responsibilities

Position Primary Purpose:

Virginia Commonwealth University School of Dentistry is seeking applicants for a full-time Senior Student Services Specialist to provide admissions, recruitment and technology support to the Office of Admissions at the School of Dentistry. This position serves to assist the Office of Admissions with recruitment and admissions processes for the Guaranteed and Preferred Applicant Program, the Kuwaiti Dental Program, and the D.5, Doctor of Dental Surgery (DDS), Dental Hygiene (DH) and International Dentist Programs (IDP). The position works as a member of a team in planning, organizing, and carrying out the tasks integral to support the mission of the Department of Admissions and the School of Dentistry.

Responsibilities:
  • Maintain centralized application service for DDS/IDP/DH
  • Coordinate payment system for DDS application fees and IDP application and bench test fees
  • Coordinate dental hygiene application review
  • Coordinate DDS/IDP/DH Interview Days and facilitate student selection and matriculation for DDS/IDP/DH programs
  • Scholarship tracking, process accounts, and sending letters
  • Ensure fiscal compliance through accurate tracking and documentation of Admissions, IDP University, IDP Local, Bench
    Test Prep Course, and recruitment budgets
  • Assist with development of annual fiscal reports and budget reconciliation activities
  • Processing and arrangement of travel authorizations and reimbursements for office funded travel
  • Assist the Guaranteed and Preferred Applicant program, Kuwaiti dental program, dental hygiene program, and IDP program and assist with recruitment for DDS program
  • Maintain an accurate database of program participants and prepare reports as requested
  • Compile and analyze application and enrollment trends and make recommendations for strategic interventions to enhance enrollment

Qualifications

Required Qualifications:
  • Bachelor’s degree and 1 to 3 years of relevant professional experience or equivalent combination of education, training, and experience
  • Valid driver’s license for occasional evening and weekend work will be required
  • Applicants must be currently authorized to work in the United States; the VCU School of Dentistry is unable to provide visa sponsorship for this position
  • 100% on-site work is required
  • Minimum 1 year of experience developing, managing academic programs and tracking data
  • Comprehensive knowledge of approaches and issues in dental education/practice
  • Excellent writing, proofing, formatting skills and preparing reports; excellent verbal and written communication skills
  • Experience coordinating public relations including preparing newsletters, fliers and promotional materials
  • Excellent organizational skills and ability to manage multiple tasks with competing deadlines
  • Ability to work collaboratively in a team environment and work independently to meet clear and established metrics and recruitment goals
  • Proficient in Microsoft Word, Excel and Access
  • Demonstrated experience working in and fostering a diverse faculty, staff and student environment or commitment to do so as a staff member at VCU
Preferred Qualifications:
  • Master’s degree or related combination training and/or experience
  • Proficiency in data management tools and software, i.e. Banner, Slate, MS Excel, and CRM systems
  • Strong analytical skills with the ability to extract, manipulate, and analyze data
  • 2+ years’ experience in program development and project management and with database management, recording and tracking of data
  • Experience handling student application process and matriculation using computerized database
  • Experience working with international students
