Description of Job Duties and Responsibilities

At Fairmont State University, we seek to provide educational opportunities and access to our students. Our Student Services functions are key to ensuring that our students can connect to and take advantage of these opportunities in a convenient, professional, and timely manner. An essential aspect of these services is the maintenance and handling of student accounts.

Fairmont State is seeking a motivated individual with superior attention to detail to provide near-frictionless customer service to students. This position would work within our Enrollment Management team by coordinating an array of financial functions pertaining to student accounts. This would include day to maintenance and process activities associated with accounts and assisting in the resolution of student billing issues.

The Student Account Manager is responsible for overseeing and managing all aspects of student accounts, ensuring accuracy and timeliness in all financial processes. This includes managing accounts receivable, billing, and collections, as well as maintaining positive communication with students, parents, and third-party stakeholders. The position ensures that student accounts reflect accurate information and adheres to university policies and compliance standards. This position provides frontline support to students, faculty, and staff regarding student account inquiries and is integral to maintaining accurate financial records. The role includes responsibility for processing cash, credit, and check transactions, managing the imprest fund, and safe management.

Key Responsibilities:
  • Student Account Management:
    • Serve as the main point of contact for students, parents, and third parties regarding student account inquiries.
    • Provide clear and timely communication about charges, payments, and account status through various methods, including email and phone.
    • Maintain the integrity and accuracy of student financial data and accounts.
    • Post and process student payments, including online payments and third-party payments.
    • Post and monitor deferments, prepare invoices, and manage balances.
  • Reconciliation and Reporting:
    • Perform regular account reconciliations, including running AR (Accounts Receivable) reports, deferments, and high school student reports.
    • Make necessary adjustments to student accounts based on reconciliations and report discrepancies to the supervisor.
    • Prepare deposits and assist in reconciling cashiers’ sessions, including posting deposits and reconciling any discrepancies.
  • Compliance and Policy Adherence:
    • Ensure compliance with university policies and federal regulations related to student accounts and financial transactions, including Title IV regulations.
    • Respond to inquiries from the Financial Aid Office and other departments regarding student account status and refunds.
  • Collaboration and Customer Service:
    • Work closely with the Finance Office to ensure seamless processing of funds and accurate disbursement.
    • Collaborate with other departments, including the Registrar, Financial Aid, and Student Success, to ensure a smooth enrollment and billing process.
    • Provide training and support to Student Success Specialists and other team members regarding financial processes.
  • Leadership and Support:
    • Lead and assist with ongoing training of student account operations.
    • Manage the SAFE process, ensuring cash handling is accurate and secure.
    • Ensure that communication about student accounts is clear, accessible, and aligned with the university’s commitment to student success.
Minimum Required Education

Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is required.

Minimum Required Qualifications
  • At least 5-7 years of experience in student accounts, finance, or a related area in higher education.
  • Strong organizational and analytical skills.
  • Proficiency in financial management software and systems, particularly Banner and Excel.
  • Excellent communication and customer service skills, with the ability to handle sensitive financial matters professionally.
  • Ability to manage multiple priorities and meet deadlines.
Preferred Qualifications
  • Master’s degree in a related field.
  • Experience managing accounts and staff.
