Coastal Carolina University is currently accepting applications for the following full-time position: Administrative Coordinator/Budget Manager in the College of Graduate and Continuing Studies.

The Administrative Coordinator/Budget Manager in the College of Graduate and Continuing Studies will be a key member of a collaborative team, working closely with the Dean, the Assistant/Associate Deans, faculty, and staff, to ensure the smooth functioning of the college. This person will manage the daily operations of the college offices, supervise college administrative staff, and serve as liaison within the dean’s office to internal and external offices and constituents.

Administrative Coordinator I (AH10/61122699/202400351), full-time position with benefits. SC State Pay Band: 0 5 . Salary range: $38,985.00 (minimum) - $55,559.00 (midpoint). This position is open until filled. Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. and Friday, 8:00 a.m. to 12:30 p.m. Must be flexible to meet the special scheduling needs of the university.

Duties

Duties include, but not limited to:

1. Manage Daily Operations: Coordinates the daily operations of the College to include the Office of Graduate Studies and the Office of Continuing Studies. This includes answering questions from students, faculty, staff, and the public, communicating with graduate program coordinators, center directors and other offices on campus. This individual will liaise with external partners such as ed2go and CampusCE to provide assistance with registration, payment, and student support for continuing education students. Develop and manage business practices and operations related to non-credit programming in Continuing Studies. Answer questions from prospective students about credit and non-credit programming, serving as a point of contact for questions about non-credit programming for continuing education students. Supervise student workers/Graduate Assistants. Responsible for coordinating meetings and retreats plus the written meeting minutes. Coordinate the schedule and activities of the dean of the College of Graduate and Continuing Studies. Screen appointments and mail, coordinate travel plans and maintain the Dean's calendar. Book rooms and make catering arrangements for speakers, seminars, and conferences. Works with other administrative staff within the various units to organize administrative work activities and prioritize task completion according to college schedules and goals. Coordinates leave/scheduling and ensures office coverage. Develops and maintains administrative procedures/standards for the college. Coordinates and leads administrative staff meetings on a regular basis.

2. Personnel Management: Maintaining and updating College of Graduate & Continuing Studies staff in-house personnel files, including contracts. Ensures maintenance of confidential faculty credentials, CVs, promotion/tenure/post-tenure review and syllabi files. Prepares all PAFs and Temporary Hire paperwork for faculty, as well as student workers. Processes personnel transactions and maintain personnel records. Attends meetings of Administrative Coordinators and seminars conducted by HR.

3. Fiscal Oversight of College Accounts & Purchases: Maintain internal accounting for all accounts in the College and provide current info to Dean as needed, including budget balances for all fund types. Maintain and monitor internal control procedures for the college, document all policies and procedures for the college as related to budgeting, spending, purchasing, and paperwork processing and update as needed; train new staff and directors on these policies and procedures. Act as Division Administrator for college for invoices processed through Perceptive Content and process all college invoices through the online system. Maintain files for all fund expenses within the college and provide project assistance as requested, including finance reports, spreadsheets, procedural outlines, and presentations related to college finances. Act as liaison for college to Offices of Procurement, Accounts Payable, Financial Services, Controller's Office, Risk Management, and Legal. Annually prepare college budget request and request for student/temporary staff funds. Maintain transactions against Coastal Education Foundation accounts. Create and update activity reports throughout the year for CEF program funds to respond to questions from the Dean and program directors/assistants.).

4. Purchasing Card Management: Serve as P-card liaison for all card holders, manage all confidential budgetary paperwork including statements, transactions, and employee expenditure files.

5. Customer Service: Provide exceptional customer service to all constituents, including but not limited to, faculty, staff, students, visitors and the community at large.

Qualifications

Required Qualifications: A h igh school diploma and three (3) years of administrative experience required. A bachelor's degree may be substituted for the required work experience.
Preferred Qualifications: Extensive e xperience working with the general public, students and parents, faculty, and staff. Extensive experience with contemporary office technology.
Knowledge, Skills & Abilities: Extensive skill working with the general public, students and parents, faculty, and staff. Ability to take initiative and make quality decisions without supervision. Excellent and positive management, communication, interpersonal, planning and organizational skills. Must be able to maintain multiple budgets. Knowledge of Microsoft Office products, Excel Spreadsheets, Datatel, etc. Must be able to exercise mature problem-solving strategies and professional discretion when handling confidential academic and professional records.
