The Project Assistant for the Metropolitan Indianapolis Central Indiana Area Health Education Center (MICI-AHEC) provides critical administrative and operational support to facilitate the efficient functioning of MICI-AHEC programs, including participant tracking, and community outreach efforts. Responsibilities include managing clerical tasks such as ordering supplies, reconciling credit card transactions, processing invoices, while providing comprehensive logistical, administrative, and operational support. The Project Assistant will coordinate data management and analysis through software systems like Salesforce and FormAssembly as well. The Project Assistant will assist in streamlining processes and document preparation. The Project Assistant will actively collaborate with MICI-AHEC staff to ensure seamless departmental workflow, support program events, and manage communication with a diverse range of stakeholders, including program participants, employers, and community partners. This role requires strong organizational skills, adaptability, and a proactive approach in a fast-paced, mission-driven environment.
REQUIREMENTS/MINIMUM QUALIFICATIONS:
- Two years of relevant experience.
- Associated degree preferred; high school diploma/HSE required
- Demonstrated ability to work collaboratively with diverse internal and external constituencies.
- Experience in office administration.
- Clean acceptable driving record
- Knowledge of how to utilize computer technology and computer application effectively (Word, Excel, database programs)
- Skilled at being attentive to details and high attention to follow through.
- Skilled at managing time effectively.
- Skilled at communicating effectively verbally and in writing.
- Skilled at being diplomatic and exhibiting a positive and professional demeanor.
- Skilled to be adaptable and flexible.
- Ability to act as liaison to students and resources.
- Ability to make adjustments accordingly and communicate with team.
- Strong knowledge of Microsoft Word, Power Point, Excel and Access
- Must be self-motivated, energetic
- Maintains schedule, travel plans, and expenses
- Coordinates the flow of information to include the reading of mail, highlighting issues of importance
- Screens telephone calls and provides responses to moderately complex questions that frequently require additional research or fact-finding
- Promotes activities through outreach and networking initiatives
- Tracks and monitors the program timeline and deliverables
- Prepares complex documents utilizing word processing software at an advanced level including specialized graphics software to produce all basic outputs
- Coordinates the collection, compilation, and summary/synthesis of data including accessing a variety of moderately complex programs to retrieve data and performs basic statistical calculations
- Prepares content materials for meetings
- Plans meetings where itineraries and arrangements are moderately intricate, on or off hospital premises, making arrangements for space, supplies/equipment, refreshments, and other needed services
