Examples of Duties and Responsibilities
  • Relieves the Director or other supervisor of operational or administrative details by planning and coordinating the implementation of policies and decisions
  • Helps the department to achieve its mission by coordinating complex processes associated with work specific to the department
  • Evaluates various approaches to completing projects, developing tools and utilizing available resources to achieve desired outcomes, exercising judgment to make decisions, and assuring effective communication with stakeholders.
  • Supervision and training of employees including student, part-time or temporary workers, and permanent staff; scheduling work, assigning tasks, and reviewing completed work.
  • Directs and responds to operational matters that is multifaceted and complex (e.g., facility maintenance and safety concerns, retail operations, vendor and tenant concerns, student life programs, campus free speech activity).
  • Position is expected to research, gather and compile information to analyze and produce reports or documents; track information and interpret data to determine the best methods and procedures to conduct departmental business; and assist in developing policies and procedures that ensure compliance with department, University, State, and or Federal policies, procedures, and or guidelines.
  • Serves as the communication hub of the department by communicating information from the supervisor to others, collecting and organizing information requested by the supervisor from others, making information available to others by mail, email, telephone, and the web, and providing more complex information on processes specific to the department to faculty, staff, students, other departments, and/or the public. Responsible for website updates and maintenance.
  • Organizes, coordinates, plans, and conducts departmental events by securing space, equipment, food, preparing invitations, announcements, agendas, brochures, and packets, purchasing awards, making arrangements and reservations, and overseeing the event as it occurs.
  • Assists in the annual assessment of the department, buildings, and operation.
  • Supports the department by performing all other duties as assigned by the supervisor.
Minimum Qualifications
  • Bachelor’s degree and three (3) years related work experience, or an equivalent combination of education and experience.
  • Supervisory experience that includes training of employees scheduling work, assigning tasks, and reviewing completed work
  • Ability to update and maintain website working within a content management system
  • Ability to interpret and apply university policy and procedure, State and Federal law
  • Effective public relations, interpersonal, and communication skills, including the ability to work with diverse groups of individuals and provide positive professional customer service
  • Ability to handle conflicts and difficult situations in a timely and professional manner.
  • Ability to problem solve and make sound decisions using good judgment, tact and sensitivity and with proper treatment of confidential and sensitive information
  • High capacity to organize, prioritize, and pay attention to detail
  • Knowledge of payroll practices and regulations.
  • Ability to gather, analyze and interpret financial and statistical data.
  • Demonstrated knowledge of sound principles and practices of budgeting, financial planning, accounting, and cost control procedures.
  • Demonstrated experience with event planning.
  • Demonstrated skill in business English, spelling, grammar, composition, proofreading and ability to create, compose, and edit complex materials
Preferred Qualifications
  • Previous experience working in higher education in a student union setting and/or background in student affairs
  • Previous experience working in a multi-faceted organization that provides services and programs, manages operations and facilities, and runs in-house administrative functions.
Additional Information

Position Number: 471340
Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year
Probationary Period: Six (6) months minimum
