Reporting to the Assistant Director of Operations and Health
Records, the Health Records Coordinator will serve as the lead
processor of Student Health Forms and provide comprehensive
customer service to students and parents concerning the health form
submission process. The coordinator is responsible for maintaining
swift response times to customer needs via emails, phone calls, and
in-person visitors. This position will also act as the department’s
main spokesperson on the Student Health Form and represent the
Student Health Center at regular university events and visitor
tours. Additionally, the coordinator will assist with various
operational tasks for Student Life, including the receiving and
distribution of creative items. The ideal candidate for this
position is organized, proactive, detail-oriented, relational, and
a strong communicator.

This position does not directly supervise any positions, though some level of mentorship and guidance for a small team of student workers is required.

Use of one’s personal vehicle (or LU vehicles) may be required for travel in the performance of the essential functions of this position. Proof of a valid Virginia driver’s license, an acceptable DMV record, and liability insurance is required.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Student Health Form Processing
- Review and approve student submissions of immunization records
and exemptions as part of the Student Health Form.
- Maintain a knowledge of immunization requirements and exemption
policies to effectively process the health records queue.
- Evaluate and process student health fee appeals according to
office policy.
- Provide general customer service to students and parents
regarding the student health form process via verbal and written
communication.
- Oversight and management of the Student Health Records email
inbox, directing communications efficiently, responding to
inquiries, and forwarding relevant information to appropriate team
members.
- Answer the Student Health Records phone, direct calls
appropriately, and provide information to students and other
callers.
- Draft and edit internal and external department communications
with attention to detail and a commitment to clarity.
- Address university visitors during campus tours on the Student
Health Form and highlight the Student Health Center and its
services.
- Present information at student health sessions of regular
recruitment events.
- Represent Student Health Records and Student Life at various
tabling events.
- Assist with receiving and delivery of Student Life creative
products.
- Receiving and distribution of Student Life staff gear.
- Support and preparation of department specific onboarding items
and tasks as directed.
- Remain abreast of existing and emerging technologies,
processes, products, services, and leading industry performance
benchmarks as it pertains to Student Affairs. Work effectively as a
team member, embracing and fostering LU's mission. Other duties as
assigned.

QUALIFICATIONS AND CREDENTIALS Minimum Qualifications
- High school diploma or equivalent.
- 1-2 years of customer service experience.
- 1-2 years of Microsoft Excel and Outlook experience.
Education
- Bachelor’s degree completed or in progress.
- 2-3 years of customer service experience.
- 2-3 years of Microsoft Excel and Outlook experience.
Communication
- Effectively communicates in both verbal and written forms to
convey clear, well-articulated information.
- Able to understand, speak, and write English to convey messages
and correspond in an articulate and professional manner.
- Demonstrates strong organization, project management, and
managerial skills.
- Possesses excellent computer skills, necessary for Microsoft
Office Suite and Adobe Creative Suite.
- Task oriented and dedicated, meets deadlines while going the
extra mile and producing quality work products.
- Anticipates needs and takes steps to meet those needs before
they crop up, taking a proactive and intentional approach to their
duties.
- Sincere and affable, can build relational rapport quickly,
establishing productive relationships across a variety of
departments and contexts.
