Job Summary/Basic Function

Bay College and the Bay College Foundation, a 501(c )(3) entity, seek a highly qualified candidate for the role of Executive Director of Institutional Advancement. This leadership position is critical in formulating, executing, and overseeing comprehensive fundraising strategies and ensuring meticulous management of foundation records and reporting. The Executive Director will be entrusted with the prudent stewardship of foundation assets, fostering relationships with alumni, donors, and other stakeholders to enhance the college’s financial support network.

Minimum Qualifications
  • Bachelor’s degree in business, or a related field providing foundational knowledge for the effective performance of the referenced skill sets.
  • Minimum of three years of experience in fundraising or management of funds.
  • Minimum of three years of supervisory experience.
  • Advanced knowledge of the legal requirements of fundraising and trust administration.
  • Experience in financial or budget management.
  • Proficiency with electronic research, marketing, database management, and reporting methods.
  • Demonstrated significant community involvement, volunteerism, civic organization membership, etc.
  • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.
  • Excellent interpersonal communication skills, organizational ability, and the ability to meet multiple deadlines.
  • Ability to function autonomously yet collaboratively and the interpersonal skills to appropriately develop trust and confidence in the mission of the college foundation among a diverse population.
  • Willingness and ability to work irregular hours and travel extensively.
  • Must possess a valid unrestricted driver’s license.
Preferred Qualifications
  • Master’s degree in business, or related field.
  • A minimum of seven years of progressively responsible experience in institutional advancement, fundraising, or development, ideally within a college, university, or nonprofit organization.
  • Demonstrated experience in a senior leadership role, including strategic planning, team management, and budget oversight.
  • Proficiency in designing and implementing donor cultivation and stewardship strategies to engage individual, corporate, and foundation donors.
  • Experience managing significant budgets, including experience with fiscal planning, financial forecasting, and resource allocation.

Fundraising and Donor Relations
  • Develop and implement fundraising strategies targeting individual donors, corporations, foundations, and public/non-profit entities, leveraging annual giving, memorial gifts, planned giving, and endowment growth. Lead donor cultivation and recognition efforts, upholding confidentiality standards as required.

Foundation Leadership and Governance
  • Serve as managing director of the foundation, reviewing, evaluating, and reporting on foundation activities to the board of directors, providing expert advice and counsel, and implementing board directives.
  • Develop, oversee, and monitor the foundation’s budget (approximately $17.5 million).
  • Actively participates as a member of the Senior Leadership Team bringing vision, strategic thinking, and creativity to the advancement of the organizational vision, mission, and goals.

Alumni and Community Engagement
  • Establish and maintain a robust alumni relations program, utilizing engagement and retention strategies to foster ongoing support from college alumni.
  • Represent the foundation and college at community events or with community groups relevant to the foundation’s mission and the college.
  • Act as a liaison between the college and the general public to promote a positive public image of the institution and strengthen community relations.

Scholarship and Grant Management
  • Manage the foundation’s scholarship process, including promotion, posting of scholarships, informing the scholarship committee, scheduling selection meetings, notifying awardees, coordinating with the financial aid office, and record-keeping.
  • Manage the foundation’s grant process, including scheduling committee meetings, notifying applicants of decisions, documenting board approvals, coordinating with the college’s accounting department, and accurate record-keeping.

  • Maintain an in-depth knowledge of applicable federal and state laws and regulations pertaining to foundation activities and fundraising and ensure college and foundation compliance.

  • Collaborate with college departments responsible for administration, marketing, public relations, and recruitment to align foundation and institutional publicity goals and objectives.
  • Advocate for the college and foundation within local, state, and regional networks, advancing initiatives that align with the college’s mission and each campus’s unique community needs.
