Description:
Manages the day-to-day operations of a large university program or department, including the supervision of staff employees, student workers, programs or processes.
1. Plans and develops procedures for administering a large or complex department or program.
2. Manages fiscal activities, including procurement and budget analysis.
3. Provides guidance to subordinate staff and evaluates performance.
4. Prepares abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
5. Creates and reviews reports of expenditures and activities.
6. May administer grants and grant-related related communications, scholarships and other operations.
7. Develops, implements and maintains appropriate policies and procedures.
8. May serve as property custodian for the department. 9. Performs other job-related duties as assigned.
MQ: Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: Requires a minimum of one (1) year of directly job-related experience. Certification/Licensing: None.

Description:
The Rockwell Career Center is seeking an Events & Recruiting Manager who will be responsible for overseeing the execution of live and virtual recruiting events and managing relationships with employers. By working closely with the Asst. Director of Employer Relations, the Events & Recruiting Manager will manage all aspects of the 8-10 recruiting events per year, including mixers, career fairs, and information sessions. This includes managing the reservations process, securing space for activities, and managing all aspects of contracts or financials associated with the events. They will also manage relationships with a number of employers.
Event Planning:
1. Manage set-up and ongoing monitoring of the online event registration portal.
2. Establish and maintain relationships with suppliers and vendors.
3. Negotiate prices, menus, space, etc. with suppliers and vendors.
4. Develop, manage, and oversee assigned event budgets.
5. Provide on-site supervision of events to oversee the use of facilities, physical set-up, catering, security, and compliance with campus policies and procedures.
6. Responsible for coordinating and supervising event set-up.
Employer Relations Duties:
1. Manage relationships with a small group of employers to encourage and support recruiting at the Bauer College of Business
2. Assist employers with
- Building their brand on campus
- Developing a comprehensive relationship with the C.T. Bauer College of Business
- Job postings, Interview schedules, Information sessions and tables, and Resume books
3. Develop strategic plans with the employers to optimize recruiting of internship and full-time candidates
4. Market opportunities to students through interaction with staff, faculty, and student orgs
Marketing & Volunteer Management:
1. Maintain and distribute the semesterly event calendar for the office.
2. Manage content on the department and college’s web pages including updates as needed.
3. Recruit, train, develop, and mentor college students and student organization members who will function as event volunteers.
4. Works with the Marketing Department regarding RCC’s publication of all print and online documents, flyers, social media, and other informational materials.
5. Develop and administer surveys for departmental events and activities.
6. Analyze data and recommend changes based on findings.
Administrative:
1. Prepare and manage contracts and other procurement instruments for services as assigned
2. Research payment issues with internal and external vendors and employers.
3. Prepare all financial documents, monitor cost center activity, and provide financial tracking reports.
4. Conduct event inventory and order supplies as needed.
5. Understand UH/UHS policies and follow University procurement, contract, cash handling, and journaling procedures
May require working extended hours in the days leading up to an event and on-site, if needed.
Preferred qualifications:
• One or more years of experience in event management, recruiting, sales, or similar roles preferred
• Experience planning or attending events in a university setting preferred
• Experience with PeopleSoft, Payment Works, and/or UH Financials preferred
• Excellent written and verbal communication skills
• Basic accounting knowledge
• Intermediate-level knowledge of one or more of the following:
- Microsoft Office: Excel, Teams, Outlook
- Project management software (AirTable, Monday, Asana)
- Graphic design software (Canva, Photoshop)
- Email marketing software (MyEmma, Constant Contact, MailChimp)
- Website editing software (uConnect, WordPress, SquareSpace)
- University career services management software (Symplicity, Handshake, 12twenty)
Successful candidates will have the ability to work independently as well as part of a team, work well under pressure, consistently meet deadlines, and manage multiple projects while remaining flexible and positive. This role requires exceptional organizational skills and attention to detail. Further, successful candidates will effectively communicate with all levels of management and fellow employees and be able to recruit, lead and steward volunteers.
