Job Summary

The University of Colorado Boulder’s Donor Relations team encourages applications for a Donor Stewardship Coordinator! The Coordinator will be primarily responsible for donor communications, campus acknowledgment programs, and donor engagement efforts, ensuring personalized and meaningful recognition of CU Boulder’s donors. This role will also provide support for donor events and collaborate on key stewardship projects that enhance the overall donor experience.

The ideal candidate will have strong attention to detail, excellent organizational and communication skills, ability to work in a fast-paced environment, and experience working with both data and creative content. The Donor Stewardship Coordinator will balance multiple projects while ensuring the accurate collection and analysis of data to refine stewardship strategies.

What Your Key Responsibilities Will Be

Campus Acknowledgments & Donor Communications
  • Manage and coordinate donor communication efforts, including campus acknowledgments, behavior-based communications, scholarship updates, and other forms of donor recognition.
  • Ensure the accuracy of donor data and perform vital data entry to support analysis of acknowledgment efficiency and impact.
  • Develop and maintain donor lists, track communication touchpoints, and improve personalization and overall stewardship strategies.
  • Manage data sets for donor segments, recognition cohorts (societies, circles), and stewardship programs, working within the CRM and other data systems.
  • Ensure all donor communications adhere to university policies, donor privacy regulations, and legal requirements related to charitable giving.
  • Maintain strict confidentiality of donor information, adhering to ethical and professional standards for data security.
Donor Stewardship & Impact Reporting
  • Collaborate with key campus partners to gather and compile data for donor impact reports, ensuring donors receive important updates on how their gifts are being used.
  • Coordinate the distribution of various impact reports and donor stewardship communications, tailoring content to align with donor interests and stewardship strategies.
  • Support the execution of recognition programs, including managing data sets related to recognition societies and coordinating various communications.
  • Track donor landmarks (e.g., anniversaries, cumulative giving thresholds) to ensure timely and appropriate recognition.
  • Assist in developing donor satisfaction surveys and feedback mechanisms, analyzing results to improve donor engagement and acknowledgment processes.
  • Work closely with colleagues in Advancement to track and respond to donor feedback, ensuring continued relationship-building and donor retention.
  • Coordinate and connect with volunteers throughout the creation of various stewardship touches (e.g., videos, events, impact quotes, etc.).
Donor Event & Engagement Support
  • Prepare invitation lists and data sets to ensure accurate constituent inclusion and recognition for donor events.
  • Support communication efforts before and after events, including invitations, outreach, follow-up engagement, and quarterly event and engagement metric tracking.
  • Provide logistical support for on-campus donor experiences, including event setup, parking coordination, and campus tours.
  • Provide logistical support for volunteer activities related to donor events and recognition programs.
Cross-Functional Collaboration & Additional Support
  • Act as a liaison between the Donor Relations team and other internal departments (such as Development, Annual Giving, Marketing and Communications, and Alumni Relations), ensuring consistency and coordination of messaging and recognition strategies.
  • Participate in cross-functional team meetings to stay aligned on donor engagement strategies and institutional priorities.
  • Collaborate on donor stewardship projects and initiatives with the Assistant Director and Senior Program Manager.
  • Lead and support training on donor stewardship standard processes for campus colleagues.
  • Maintain an inventory of gifts and mementos, coordinating cost-efficient orders with the stewardship roundtable.
  • Assist with outreach and communication to external vendors.
What You Should Know
  • This position will occasionally be required to work evenings/weekends.
  • This position has the ability to work a hybrid schedule with some days on campus and some days remote.
What We Can Offer
The salary range for this position is $51,000 - $56,000 annually. Relocation assistance is available within Advancement guidelines.

  • Bachelor’s degree or equivalent experience or combination of education and experience may substitute.

What We Would Like You to Have
  • Experience in or understanding of a non-profit, higher education, or related environment through internships, volunteer work, or part-time positions.
  • Demonstrated ability to coordinate multiple projects or tasks, either in academic settings, internships, or volunteer roles, with strong organizational and time management skills.
  • Experience in customer service, hospitality, or event support, with a focus on providing excellent service and establishing relationships.
  • Strong writing skills, gained through academic projects, internships, or part-time positions, including drafting reports, communications, or other written materials.
  • Familiarity with CRM systems, data management tools, or databases (such as Salesforce) is a plus, but not required; willingness to learn new software and tools quickly.
  • Proficiency in standard office software (e.g., Microsoft Office Suite) with an ability to adapt to new technologies.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
