General Summary

The Credentials Evaluator 3 reports to and works under the general direction of the Associate Director for Enrollment and Credentials and is a member of the Enrollment Services Department. The Credentials Evaluator performs transcript evaluations of coursework which includes evaluating incoming transcripts from other accredited institutions of higher education, or other documentation including military transcripts or tests. The position exercises independent judgment in researching and processing graduation applications to assure that students have met all graduation requirements, and provides customer service in support of enrollment and completion.

Enrollment Services is responsible for facilitating enrollment transactions, including add/drop, enrollment verifications, data reporting, tuition waivers, prerequisite checking, waitlist management, tuition calculation, grading, student records, transcripts, permission numbers and ID cards. The unit provides customer service through the front counter, virtual lobbies, via email and phone as the interface for both Registration/Records, and Credentials Evaluations. The person in this position is expected to participate fully as a member of the Enrollment Services team, supporting other functional areas to facilitate admissions, persistence, graduation and transfer. The Credentials Evaluator works in close coordination with Advising, Intake, Running Start and Veterans Services under the leadership of the Dean for Advising and Enrollment Services.

This is a temporary project based position scheduled to end June 30, 2022, with potential for continuation based on funding.

This position is a classified full-time position and eligible for overtime. Mon. - Fri. 8 a.m. - 5 p.m. with occasional evenings.

SALARY INFORMATION :
The above salary reflects the starting step (Step C) Range 38 for this classified position and includes a 5% King County compensation provision. As a newly employed classified employee, based on annual increments, it will take 5 years to reach Step L on the salary schedule. This does not reflect any contractual changes, legislative mandated salary increases or Cost of Living Increases (COLA's) that may be approved in the future.

Essential Tasks

Reporting directly to the Associate Director of Registration and Records this position will:

Credentials Evaluation (70%)
  • Analyze and evaluate a wide variety of educational courses and credentials for academic programs including military training, international and domestic post-secondary transcripts, and test scores;
  • Run Academic Advisement Reports in ctcLink for use in evaluation of the completion of graduation requirements; approve degree or high school credential conferral based on final evaluation; post degrees, high school credentials, credits and advising notes to the student's official academic record;
  • Review AARs to verify accuracy of audit results, identify discrepancies with the catalog and determine if Unused Courses can be applied to degree requirements;
  • Import course work electronically in ctcLink using transfer of credit process;
  • Enter courses manually into ctcLink when paper-copy, pdf or transcripts are received;
  • Collect, record and process applications for graduation, diploma, and incoming transcript evaluation requests;
  • Process approved course substitutions in ctcLink;
  • Determine transferability of incoming transfer credits;
  • Inform students of eligibility for credential, remaining certificate/degree requirements, or awarding of transfer credit using advising notes, message center, email;
  • Confer with supervisor for confirmation of complex evaluation issues.
Customer Service (10%)
  • Provide quality customer service and Independently resolve student issues regarding graduation and evaluation policies, procedures and regulations;
  • Answer phone lines and emails, responding to messages in a timely, professional manner;
  • Greet visitors, students, staff, faculty and community members at the Registration/Records counter in person and electronically, i.e. Zoom lobbies;
  • Contact and provide follow-up to students to support next steps in the enrollment or graduation process.
Enrollment Services (10%)
  • Ensure compliance with institutional, state and federal policies and regulations;
  • Archive graduation records on a regular basis in accordance with college record retention policies;
  • Perform general office work such as filing, copying, and communication (electronic, verbal and written);
  • Provide support for all enrollment processes including registration, grading, intake and tracking of incoming transcript requests and graduation applications, data tracking and reporting.
Community and Professional Development (10%)
  • Provide input into policies, processes and procedures to advance the college and unit missions and objectives;
  • Actively engage in department and campus community professional development opportunities, cross-training, meetings and committees.

  • Troubleshoot, ask relevant questions to identify problems find solutions;
  • Navigate technical, web-based environments.
Knowledge of:
  • State, and federal policies related to the awarding of credit and awarding of degrees;
  • Northwest Association of Schools and Colleges and Intercollege Relations Commission (ICRC) guidelines;
  • Family Educational Rights and Privacy Act (FERPA).


Qualifications

  • High School Diploma; AND
  • Three years of admission, education records, college registration or related experience; OR
  • Equivalent Education and Experience.
Desirable Qualifications:
  • AA degree or higher;
  • Experience with higher education, and specifically familiarity with community college;
  • Experience with PeopleSoft Campus Solutions;
  • Fluency in languages other than English.
