Summary
The Senior Business Operations Associate performs research administration (pre- and post-award), business operations and finance support functions for the Department of Education, Innovation and Technology (EIT). This position will work with the Department Chair and Administrator in supporting the operations of the Department. The Huffington Department of EIT supports education—one of Baylor College of Medicine's mission areas—as a discipline at the College, with an academic focus on the science of teaching and learning. Members of the department contribute to a growing body of specialized knowledge related to how people learn and effective educational practices.

Job Duties
- Performs and oversees the daily operation related to research administration, business operations and finance support functions for the Huffington Department of Education, Innovation and Technology (HDEIT) – including the Center for Educational Outreach (CEO) and Center for Teaching and eLearning (CTeL), under guidance of the Department Administrator.
- Submits and monitors grant applications and work with SPO / SPF teams (pre- and/or post-award grant management).
- Maintains the daily, monthly, and quarterly research financial accounting activities and reports.
- Conducts financial analysis and prepares special financial reports requested by the Administrator, when needed.
- Manages federal, state and industry grants, contracts and subcontract submissions internally and externally.
- Serves as a point of contact between the Office of Research (OOR), sponsors, PIs, collaborating institutions.
- Gathers and creates documents necessary for grant submission including budget, budget justification, other support, statement of work, etc., and communicates timelines to faculty to ensure applications are submitted on time to central office for review and approval.
- Ensures compliance with all guidelines for funding purpose.
- Participates in monthly meetings with other research administrative associates and Administrator.
- Maintains up-to-date other support and bio sketches for faculty.
- Contributes to strategic planning initiatives and process improvement efforts for the Department.
- Coordinates meetings, events, and department activities, as needed.
- Manages the Department Faculty Appointments and Promotions (FAP) requests under guidance of the Department Chair.
- Provides financial management support, including budget development and monitoring, financial analysis, forecasting and annual budget planning.
- May perform human resources support activities.
- Oversees faculty and staff reimbursement process and travel request submissions. Ensures all internal and department processes are followed for the submissions.
- Assists with workflow management of Supply Chain activities in Department, including but not limited to Purchase Orders, corporate card reconciliations, purchasing and invoicing.
- Assists Department Administrator with the human resources activities, including hiring, terminations, and disciplinary actions.
- May assist with contract reviews, negotiations, and administration.
- Performs other job-related duties as assigned.
- Bachelor's degree.
- Four years of relevant experience.
- Master's degree in a related field and two years of relevant experience may also be considered.
- Financial reporting experience in S4 / Power BI
- Grant pre- and post-award knowledge: Annual reporting, account set-up and closeouts, financial reporting, and ERS Effort reporting; Utilize BCM BRAIN, NIH ASSIST, NSF’s FastLane, Grants.gov, eRA Commons, and other sponsored research portals for submissions, reporting and sponsored research management
- Knowledge of Baylor College of Medicine’s Finance, HR and Supply Chain enterprise software: S4, Power BI, SAP, SRM, Concur and PEPT
- Intermediate to expert level knowledge of Microsoft Software Suite, Word, Excel and PowerPoint
- Excellent written and verbal communication skills
- Demonstrate a high degree of flexibility in accepting work assignments with the ability to effectively prioritize tasks, understand processes, and resolve issues
- Ability to display a professional, positive attitude with strong interpersonal skills
- Attentive to detail, centered, complete and precise
