The American Dental Education Association (ADEA) is looking to add a talented Manager of Enrollment and Engagement Systems to its team.
Position Summary
The primary objective of the ADEA Office of Educational Services is to enhance pathways for prospective students into the dental professions and to support the Association and its members with policy, data and analysis on trends in dental education. The Office of Educational Services aims to improve access, affordability, diversity, inclusion, and success for prospective students applying to dental education programs. To accomplish this, the Office conducts recruitment and outreach efforts, maintains Centralized Application Services, and provides policy papers, conducts research and data reporting.
The Manager of Enrollment and Engagement Systems is responsible for managing the daily operational functions of the Office of Educational Services Customer Relationship Management (CRM) system. The Manager of Enrollment and Engagement Systems will utilize their knowledge of higher education enrollment management, enrollment marketing, and technology to create and execute engagement strategies that support the goals of the Office of Educational Services. Additionally, the Manager of Enrollment and Engagement Systems will be accountable for the technical configurations necessary for developing and implementing engagement strategies, creating required reports, constructing targeted audiences, and maintaining the security of the data in the CRM system. Their primary focus is to enhance the relationship between target audiences and ADEA. They will continuously work to improve the customer experience by understanding customer behavior, needs, and problems while leveraging the CRM functionalities to meet their needs.
Primary Responsibilities
- Monitor and maintain the day-to-day functions of the CRM system and its integrations with key platforms (virtual event platform, association management system, and ADEA Centralized Application Services), ensuring secure data transfer and optimal system performance.
- Build, test, and deploy engagement campaigns, event registrations, and inquiry forms aligned with the student’s educational journey.
- Create and maintain audience segments for targeted outreach using best practice marketing and engagement strategies.
- Implement personalized content strategies, including the development and utilization of PURLs.
- Maintain data cleanliness and security by deduplicating data, monitoring data transfers, and managing communication preferences.
- Continually focus on leveraging the CRM to improve student experience and reduce barriers to application submission.
- Identify and implement process improvements to enhance operational efficiency.
- Maintain comprehensive technical documentation for system configurations, integrations, and procedures.
- Support the Educational Services team in implementing recruitment strategies and initiatives. Coordinate with other divisions within the Association, including IT, Communications, and Membership, on communication timing and data integration.
- Provide data-driven recommendations to leadership for system optimizations and improvements.
- Generate and analyze reports on engagement effectiveness to inform strategic decisions.
- Monitor user behavior patterns to identify opportunities for enhancing the student experience.
- Collaborate with the Senior Director on technical initiatives that enhance the student journey.
- Stay informed of best practice strategies for engaging high school and college students, dental school staff, and other constituent groups.
- Continuously work to improve customer experience by leveraging CRM functionalities to meet consumer’s needs.
- Other duties as assigned.
Qualifications
- Bachelor’s degree from an accredited college or university and five years of relevant work experience is required.
- Knowledge of higher education admissions and at least three years of experience in higher education admissions and recruitment is required.
- Demonstrated knowledge of enrollment marketing and CRM systems with three years of experience in content creation, data assessment, configuration, testing, and data manipulation (including segmentation and reporting).
- Strong creative thinking and communication skills (verbal, written, editorial) with the ability to produce clear and engaging content.
- A high level of the following work skills and behaviors: teamwork/cooperation, initiative, customer service, and commitment to continuous professional growth in skills and knowledge.
- Excellent analytical, organizational, project management and time management and interpersonal skills.
- Detail oriented with ability to identify and implement process improvements.
- Capable of managing multiple priorities while maintaining high-quality results in a collaborative team environment.
- Expertise with Microsoft Office (including Word, Excel, Outlook, PowerPoint), Adobe Acrobat, and videoconference/meeting software such as Zoom/Teams. Ability to learn new technologies as needed.
- Availability for airline travel for the Association at least twice a year for member events. May include weekends.
- Ability to work at ADEA’s DC office on a hybrid basis, currently three days per week onsite on Tuesday, Wednesday, Thursday and can work from home on Monday and Friday.
The salary range for this position is $67k to $75k.
