Job Summary:
Provide administrative, clerical and operational support to the Assistant Director for Housing Services and Communication and other designated personnel. Act as the first line responder to student and parent housing concerns, including making judgments regarding when to grant a student a housing change. Work with the Assistant Director for Housing Services and Communications to develop and implement policy/process changes. Collaborate with the Assistant Director to complete reports as needed. Manage off-campus, waitlist, housing assignment/removal processes. Attend Study Away sessions to provide housing instructions for students. Prepare letters, postings and advertising materials for upcoming housing processes.
Job Responsibilities:
- Process room assignments including room changes, incoming student assignments, student returning from away status assignments, and student housing removals.
- Oversee the housing email account and review all incoming inquires. Answer appropriate inquiries and determine within established guidelines if action is required; distribute messages to appropriate parties for action.
- Coordinate all Housing Accommodation processes (Special Housing Accommodations, Transgender and Non-Binary Accommodations, Religious Accommodations) for students with accommodation plans on file.
- Respond to housing related student and parent concerns and problem solve as directed by policy and established procedure. Consult with the Assistant Director for Housing Services and Communications for extraordinary situations.
- Serve as the initial point of contact for students and parents regarding housing assignments and requests for changes.
- Prepare, manage and maintain the housing wait list and vacancy requests to include advertising the process and procedures for requesting a change in room assignment, receive applications, and coordinate the notification or offers to students regarding room changes; respond to inquiries from students, parents, staff and other College constituents regarding wait list status and update the wait lists as appropriate. Process paperwork necessary to reassign students to new housing accommodations.
- Manage the off-campus and commuter application processes to include processing applications, maintaining records, and reporting numbers to the Assistant Director for Housing Services and Communications.
- Manage the no-show and MIA calling process in the summer, fall, and spring including close collaboration with the Administrative Assistant, front desk Office Assistant staff, and Community Director/Residence Directors.
- Supervise, train and evaluate the student Housing Office Assistant.
- Collaborate with other offices to resolve housing/financial discrepancies.
- Recommend to supervisor methods for improvement of workflow and other departmental service/operational enhancements.
- Contribute to cultivating an inclusive, diverse, and respectful College community. Demonstrate inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible and collaborative work and living environment and engage in educational opportunities to increase awareness and understanding of diversity, equity, inclusion, and belonging.
- Be available for all selection processes to help resolve student issues, which may include non-traditional hours.
- Prepare letters, post intercom announcements, send mass emails, review the website for housing related information and recommend updates, reports, proposals, records, surveys, itineraries and other documents.
- Contribute to the preparation of housing data such as occupancy tracking, and other housing processes analysis as needed. Collaborate with the Information Systems Manager on reporting needs.
- Attend Offices of Residential Life and Student Conduct & Community Standards department meetings and support other committees and campus events as requested.
- Prepare training documentation and co-facilitate sessions for professional, para-professional staff and students.
- Attend Study Away sessions to instruct students on housing selection process for their return.
- Complete testing for housing system upgrades and system changes and attend related meetings.
Qualifications:
Associates degree in related field and a minimum of 2 years previous office experience or the equivalent combination of education and work experience. Strong working knowledge of various word processing, spreadsheet, database and desk top publishing software applications, good attention to detail, strong organizational, interpersonal, verbal, and written communication skills. Confidential record keeping skills, project prioritization, ability to handle multiple tasks and meet deadlines. Previous experience working with an online student information system in a college or university is preferred.
This position is 37.5 hours per week, 52 weeks per year.

Hiring Range:
$21.00 - $22.00 per hour.
