Position Summary and Responsibilities
This position provides administrative assistance in the Dean of the Faculty Office with shared support for the Grants Office. The Administrative Assistant works primarily with the Assistant Dean for Academic Administration in matters relating to faculty records and reviews, appointments, forms, posting, schedules, student course evaluations, annual activity reports, scanning, and filing. This position interfaces with the chair of the Faculty Appointments and Salary Committee (FASC) on matters relating to faculty reviews.
Responsibilities
- Maintain electronic faculty personnel files.
- Collect and organize materials used in faculty reviews.
- Assist with the budget operations of the office: reconcile P-card purchases, make vendor payments and process invoices.
- Respond to email, calls and correspondence; assist visitors, order office supplies; maintain department calendar, schedule appointments and meetings.
- Monitor scheduled maintenance and issues associated with department facilities and equipment; communicate updates to department and facilities/vendors.
- Limited administrative assistance for the Faculty Directors of Teaching and Research Development and (in summer) to non-science academic departments and programs;
- Assist with arrangements for department guests, which may be for guest speakers, lecturers, and/or candidates for faculty searches. This will include, but is not limited to, travel reimbursements, honoraria, as well as setting up accommodations.
Qualifications
Required
- One to two years of administrative support experience or equivalent combination of education and experience.
- Strong computer skills including proficiency with Google and Microsoft Office suites and ability to learn additional technical systems.
- Excellent written and verbal communication skills.
- Requires the ability to interact effectively with a diverse community of faculty, students, staff, and visitors.
- Must exercise discretion and maintain confidentiality.
- Strong organizational skills and attention to detail.
- Must be open to learning new software as needed.
Preferred
- Knowledge of Moodle, Perceptive Content, Banner and Workday.
