A. POSITION PURPOSE
The Director for Academic Services is responsible for the administration for the planning, development and implementation of an academic support program which promotes an environment wherein student-athletes can excel academically. This position is the primary liaison to the Drahmann Center, Academic Deans and Student Resources. This position shall also support the University’s efforts to ensure compliance with all NCAA, Conference and Santa Clara University rules, policies and procedures, while also abiding by those rules, policies and procedures.
B. ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Program Direction and Development
- Directs all aspects of the academic support program for all
assigned student-athletes.
- Develop and provide educational screening and assessment for
referred students to determine learning needs. This includes
creating individualized academic support plans for specific student
needs.
- Implement support plans that address time management,
goal-setting, success strategies, and self-sufficiency
skills.
- Manage and create assigned team quarterly reports to distribute
to athletics department sport administrators and coaches.
- Create and contribute to the development of educational
resources for university staff as it relates to academics and
student-athletes.
- Serve as primary liaison between Athletic Department personnel
and University faculty and staff regarding assigned
student-athletes’ academic status and any department academic
affairs issues.
- Act as departmental liaison to the Drahmann Advising Center and
Registrar’s Office.
- Attend all meetings conducted by the Dean of Drahmann Center
and Registrar’s Office.
- Ensure all student-athletes receive timely information from the
Drahmann Center and Registrar’s Office.
- Manage academic support services operations and
procedures.
- Monitor academic performance of student-athletes.
- Provide academic counseling for student-athletes in the areas
of registration, class absences, add/drop procedures, major
declaration, study skills, and time management.
- Meet with prospective student-athletes/parents regarding the
university’s academic support programs.
- Maintain and circulate academic reports on
student-athletes.
- Process and monitor departmental progress reports.
- Supervise academic studying and tutoring sessions.
- Coordinate and administer the proctoring process.
- Manages the processing of individual and team academic
achievement and distributes the academic information to the sport
administrators, head and assistant coaches of assigned
students.
- Collaborates with Senior Associate Athletics Director and NCAA
Compliance Services in monitoring and ensuring continuing academic
eligibility of all assigned student-athletes.
- Manage eligibility tracking for all assigned
student-athletes.
- Leads the reviewing and processing of all NCAA/WCC eligibility
reports, including quarterly certification reporting for assigned
student-athletes.
- Assist the NCAA Compliance Services with documenting and
submitting APR/GSR annually.
- Manage the registration and onboarding for assigned new
incoming first-year and transfer student-athletes.
- Directs the academic support provided to assigned
student-athletes during registration appointments.
- Oversight of graduation planning for assigned
student-athletes.
- Direct the academic and eligibility review of prospective
transfer student-athletes.
- Manage onboarding of new transfer student-athletes.
- Lead ongoing support services for transfer
student-athletes.
- Lead the academic presentation for annual team meetings in
conjunction with other student support services units.
- Support other student services and events as assigned.
- Other duties as assigned by the Assistant Athletic Director for
Academics and Student Development or Senior Associate Athletic
Director for Academic, Compliance and Student Services.
D. GENERAL GUIDELINES
- Recommend initiatives and implement changes to improve quality
and services.
- Identify and determine cause of problems; develop and present
recommendations for improvement of established processes and
practices.
- Maintain contact with external constituents and solicit
feedback for improved university relations.
- Maximize productivity through use of appropriate tools; planned
training and performance initiatives.
- Research and develop resources that create timely and efficient
workflow. Prepare progress reports; inform supervisor of project
status and deviation from goals. Ensure completeness, accuracy and
timeliness of all operational functions.
- Prepare and submit reports as requested and required. Develop
and implement guidelines to support the functions of the
unit.

- Ability to work effectively with external constituents,
particularly senior staff, faculty, student-athletes, and
parents.
- Ability to work on multiple projects simultaneously with
frequent interruptions.
- Demonstrated ability to employ learning strategies with
student-athletes.
- Bachelor’s degree required.
- Master’s Degree (preferred).
5. Years of Experience
- 5+ years relevant experience required.
- One to three years of experience with Division I academic
student-athlete services (preferred).
