Overview of McNair Administrative Assistant
Purdue University Northwest is seeking an Administrative Assistant for the TRIO McNair Program. The Administrative Assistant: serves as primary point of operational and administrative contact for internal and external constituencies, often on complex and confidential issues; coordinates the provision of office and staff support services to the office, and oversees and/or participates in the coordination, supervision, and completion of special projects and events; and may serve on a variety of committees in a support capacity. There is also some evening and weekend work.
Pay:
- $17.30/hour
- Monday - Friday, 8 am - 4:30 pm
- Assists with managing the McNair department’s federal budget, as well as preparing and evaluating the processing and submission of the McNair Annual Performance report to the U.S. Department of Education before the deadline
- Makes changes to the Student Access program to enable successful upload into the USDE database which is vital to the program's active status
- Oversees the input of performance data and verifies data input for accuracy
- Maintain all McNair participant files in the program's online database (Student Access) as well as hard copy files
- Manage and ensure the accuracy of student records, including personal, academic, and participation (i.e. staff/student contact, attendance etc) information
- Tracks and resolves all appropriate charges
- Researches and negotiates contracts for program activities such as student travel, equipment purchase and repair, services, and supplies. Make recommendations to the Director and/or Coordinator. Assists with processing of McNair scholar documents (application materials, SRIP stipend payment documents, participant support materials, etc. )
- Arranges and maintains schedules and appointment calendars for McNair Director and other office personnel
- Makes travel arrangements as required and originates travel forms for staff/students
- Maintains and orders all supplies for office and EOP Computer Center, reports equipment malfunctions, all other miscellaneous problems to proper authorities, receives and distributes mail to office personnel, and reconciles time cards
- Creates/initiates correspondences that explain program policies, provide additional information to resolve issues
- Manages McNair website and social media accounts, and assists with creation of marketing and promotional materials, flyers, brochures
- Communicates with Business Managers to verify policies and procedures
- Also communicates with non-university personnel such as deans, faculty, staff, and administrators at other universities to help facilitate functions and activities of the McNair scholars

Education of McNair Administrative Assistant
- High school diploma/GED
- Two years of administrative support experience in a fast paced office environment, preferably in a TRIO/EOP program
- Microsoft Office (Word and Excel to be specific), Design creation (Canva, Adobe, etc.) experience is not required but helpful
- Ability to work independently, display strong decision-making, excellent organization skills, and ability to multi-task and prioritize requests
- Knowledge of University functions and offices
- Proficient word processing and database management skills; maintain complex records
- Knowledge of the financial and programmatic policies and procedures governing federal and non-federal programs; maintain effective working relationships with TRIO managerial and professional staff; handle confidential and sensitive documents
- Interpret and handle routine matters in accordance with universities policies and federal regulations; and follow verbal and written instructions
- Proficient in video conferencing and Microsoft Office suite; Google+ preferred
