PRIMARY PURPOSE

The Facilities Resource and Asset Manager within the Facilities Department reports directly to the AVP for Facilities. This role is primarily responsible for managing the College's facilities and assets to ensure effective stewardship of the physical plant, enhancing the campus environment, and maximizing the value derived from facilities resources. The ideal candidate will possess a strong working knowledge of building assemblies and equipment relevant to a higher educational residential college. To be successful in this position, the individual must excel at coordinating asset management activities, prioritizing maintenance tasks based on condition assessments, liaising with the campus community about facilities, and supporting sustainability initiatives.

ESSENTIAL DUTIES

Asset Procurement and Installation
  • Work with Facilities mechanics to evaluate repair and replacement options of building equipment and assemblies. Solicit vendors, contractors, and service providers as needed to get quotes and recommend a best solution.

  • Coordinate with repair contractors, vendors, and service providers to complete the repair or replacement work.

  • Close out and document all work performed in Maintenance Management Software, including all operational and maintenance documentation.

Asset Management
  • Maintain an up-to-date inventory of all physical assets, including buildings, equipment, and infrastructure, utilizing Maintenance Management Software (CMMS) to capture all relevant asset information and build scheduled maintenance work order programs.

  • Develop and implement a standardized framework for asset condition scoring through routine inspections and specific equipment type criteria.

  • Collect and analyze data on asset conditions, leveraging Building Automation Systems (BAS) fault trends and work order reports to inform maintenance planning and capital renewal.

  • Oversee the lifecycle of assets, coordinating with the facilities maintenance team and Capital Project Manager for minor and major capital project recommendation.

  • Organize and maintain a hierarchical structure of parent and child assets, ensuring effective tracking and management of dependencies.

Resource Allocation
  • Assist with space utilization analysis to maximize the utility of classrooms, offices, and event spaces, ensuring effective transitions for end-users.

  • Support furniture use and movement throughout campus to assure residential and academic spaces are properly outfitted, to include ADA accommodation requests, and plan furniture replacements with various campus offices.

  • Coordinate facilities assets and facilities staff for responding to campus events and help communicate urgent facilities repair issues to the campus.

Compliance and Reporting
  • Collaborate with the Regulatory Compliance Manager to ensure compliance with local, state, and federal regulations related to health, safety, and environmental standards on all assets inspected by authorities having jurisdiction.

  • Prepare detailed reports on asset status and condition, utilizing performance metrics to recommend improvements and changes.

Sustainability Initiatives
  • Lead sustainability projects and energy efficiency programs aimed at reducing the College’s environmental footprint, including energy-efficient upgrades and sustainable material use.

  • Ensure compliance with state sustainability mandates and prepare reports to state entities, including direct coordination with Energy Trust of Oregon regarding the College’s incentivized projects and greater sustainability goals.

Stakeholder Communication
  • Engage with faculty, staff, and students to understand their needs, ensuring facilities effectively support the College’s academic and operational functions.

  • Represent the Facilities Department positively, demonstrating servant leadership principles in all interactions.

Other Duties as Assigned

KNOWLEDGE, SKILLS, ABILITIES, & BEHAVIORS
  • Proficient in building maintenance and construction principles, including knowledge of the Oregon Specialty Building Codes, National Electrical Codes, and LEED design standards.

  • Excellent organizational skills with the ability to manage multiple projects simultaneously, ensuring timely completion of tasks within various stages of development.

  • Superior problem-solving and critical thinking abilities, enabling effective decision-making and resource allocation in dynamic environments.

  • Extremely skilled in using current technology and software relevant to maintenance and planning, including Google Suite and Microsoft Project.

  • Commitment to promoting inclusion in the workplace by understanding and prioritizing diverse community needs, fostering a collaborative environment among staff, faculty, and students.

REQUIRED EDUCATION / EXPERIENCE
  • Associate’s degree in a relevant field.

  • Five years of experience in all aspects of building maintenance and construction, including programmatic development and design.

PREFERRED EDUCATION / EXPERIENCE
  • Bachelor’s degree in a related discipline.

  • Eight years of experience in construction projects, project supervision, and enforcement of contract provisions.

  • Accreditation from facilities management organizations, e.g. IFMA, APPA

PAY RATE
  • FLSA Status: Exempt

  • Starting at $70,000 per year with consideration for experience

PHYSICAL REQUIREMENTS
  • Ability to climb stairs and ladders as necessary to access various building levels and equipment.

  • Have the stamina to walk and run over various surfaces, including grass, asphalt, cobblestones, and uneven terrain, often in variable weather conditions.

  • Capable of lifting and carrying up to 25 lbs. occasionally, ensuring the ability to handle equipment and materials safely.

  • Possess the ability to effectively and safely use tools and equipment relevant to assigned tasks, ensuring precision and care during operations.

  • Demonstrate the ability to stoop, kneel, bend, crawl, crouch, or squat as needed to perform maintenance and inspections in confined or challenging spaces.
