As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks a Academic Advisor/Administrative Assistant - Nursing to promote our Catholic Franciscan mission and identity by being responsible for academic advising, support, recruitment and retention of prospective and current nursing students. The advisor interacts with faculty, professional staff, students, and other college personnel to enhance and facilitate the admission, progression, and graduate of nursing students. Major responsibilities of administrative assistant include providing administrative support to all members of MUAC LSON, including students, faculty, and professional staff.

Essential Duties and Responsibilities:

Academic Advisor:
  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
  • Performs all responsibilities in accordance with established policies and procedures of Marian University and the Leighton School of Nursing (LSON).
  • Provides academic advising for pre-nursing and undergraduate nursing students.
  • Presents to students at application sessions and other campus events.
  • Monitors and documents student progress from admission, progression through graduation regarding grades, GPA, degree audits and program requirements.
  • Maintains students' files to ensure compliance with the LSON requirements.
  • Communicates concerns about students' progress to student, faculty, and the Director of Nursing.
  • Other duties are as assigned.
Administrative Assistant:
  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
  • Provides administrative support to all members of the MUAC Nursing site as requested including the leadership team, faculty, and staff.
  • Supports LSON daily functions including but not limited to the following:
  • Arranges and attends MUAC LSON events including pinning ceremonies ad indicated.
  • Facilitates the onboarding and off-boarding of Nursing full-time/part-time faculty and staff.
  • Arranges requests for building maintenance and IT needs of faculty/staff as requested.
  • Manages accreditation files including updates, filing, and purging.
  • Communicates with Nursing faculty/staff on a daily/weekly basis, outcomes of delegated tasks.
  • Manages requests and distribution of office supplies, equipment, and other needs for Nursing faculty/staff.
  • Produces and edits correspondences.
  • Other duties as assigned.
Required Qualifications:
  • Bachelor's degree
  • Excellent organization and communication skills, both written and oral.
  • Ability to advise multiple populations of students simultaneously.
  • Proficient with Microsoft Office suite of products including but not limited to Outlook, Word, Excel. and Power Point.
  • Willingness to learn and become proficient in commonly used office and institutional productively software, student/faculty learning platforms and technology such as Skype, WebEx, etc.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently with minimal guidance and direction.
  • Exhibit professionalism and high ethical standards for maintaining confidential information.
Essential Functions:
  • Work hours necessary to perform job requirements satisfactorily on a regular basis.
  • Manage absence from work in responsible manner to ensure service to clients, work teams, and coworkers.
  • Comply with Marian University policies and practices and seeking clarification of them when necessary.
