Position Summary

10-month position (Aug 1-May 31); actual start and end dates may vary on academic calendar.

This position reports the Director of Retail Dining and provides office support for Dining operations. Essential responsibilities of this position include administrative support to the Director of Retail Dining and Retail Dining Manager. Assisting other dining office managers with payroll and other employee paperwork as well as dealing with highly confidential and sensitive issues.

Essential Duties and Responsibilities

Personnel and Payroll – 25%
  • Process payroll and related duties.
  • Manage timekeeping for assigned Unit(s).
  • Act as primary contact for unit to track and complete required trainings
Clerical Activities – 25%
  • Perform necessary general office tasks that include, but are not limited to answering incoming calls, greeting visitors, announcing appointments, sorting mail, routing correspondence, filing, copying, and maintaining inventory of office supplies for the assigned unit.
Office Management – 25%
  • Provide administrative support to the Director of Retail dining and assigned Unit’s management team.
  • Maintain an organized overview of departmental needs, events, contracts, and deadlines.
  • Prepare departmental reports as needed.
  • Manage confidential documents including personnel, departmental, institutional, and historical documents.
Coordination and Support – 15%
  • Handle inquiries and respond to concerns and requests for information.
  • Serve as a resource to departments and other constituents on Campus Dining’s policies and procedures.
  • Support Decisions and activities that achieve departmental goals and objectives.
  • Assist and support in managing timelines and completing various projects and programs in cooperation with other areas of dining and other departments on campus.
  • Coordinate, attend, participate in and record minutes of various meetings as needed.
  • Work collaboratively with other campus partners to support events.
Other Related Duties – 10%
  • Perform other related duties as assigned.
Minimum Required Qualifications (Civil Service)

  1. High school diploma or equivalent.
  2. Two (2) years (24 months) of work experience comparable to the Office Support Specialist class.


Knowledge, Skills, and Abilities (KSAs) (Civil Service)

  1. Knowledge of administrative and administrative procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  2. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  3. Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  4. Knowledge of computers and computer systems (including hardware and software) to enter data, or process information.
  5. Skill in material resources management through obtaining and seeing to the appropriate use of equipment, facilities, and materials needed to do certain work.
  6. Skill in communicating effectively, both verbally and in writing as appropriate for the needs of the audience.
  7. Skill in decision making by considering the relative costs and benefits of potential actions and choosing the most appropriate one.
  8. Ability to understand written sentences and paragraphs in work related documents.
  9. Ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules (e.g., patterns of numbers, letters, words, pictures, mathematical operations).
  10. Ability to apply general rules to specific problems to produce answers that make sense.
  11. Ability to combine pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events).
  12. Ability to choose the right mathematical methods or formulas to solve a problem.
  13. Ability to provide guidance and direction to subordinates, including setting performance standards and monitoring performance.
