Position Summary

Seeking an Office Assistant 2 in the Advancement Financial Services department within the Division of Institutional Advancement.
This position works Monday – Friday, 8am – 4pm with a half hour lunch. This is a temporary appointment. Salary is $19.83 per hour.

Major Responsibilities

Gift Support
  • Daily processing of gifts – including ACH, multi-pay, credit cards, confirmation of matching gifts.
  • Preparation of weekly accounts payable disbursements for CCF, CCFP and AE and payment processing through Red Dragon Depot and procurement card systems.
  • Preparation of gift acknowledgements and pledge reminder letters, merging tax letters.
Secretarial Support
  • Agenda preparation, minute taking, mail merges, data entry, scanning and indexing documents, calling constituents and answering phones, creating scholarship and program files.
  • Purchase and maintain office supplies and Annual Giving stationary inventories.
  • Assist the Assistant Director of Advancement Financial Services with Excel spreadsheet maintenance and various cost analysis.
  • Reconcile accounts with bank statements and control ledgers and resolve discrepancies.
  • Perform mathematical operations, create spreadsheets, use calculator.
  • Provide information retrieved from databases.
  • Provide backup for other office staff and assists with other duties as assigned.
