Housing Operations Specialist II (Multiple Vacancies)

Job Summary
The Housing Operations Specialist II administers the day-to-day business operations within the Office of Housing & Residence Life including day-to day front desk operations and assisting students and parents.

Job Description

Typical duties of the first vacancy may include but are not limited to:
  • Executes day-to-day front desk operations for the Central Housing Office, utilizing a queued phone system, main housing e-mail, and housing database system (RMS Mercury and StarRez)
  • Assists students and parents with questions and concerns, utilizing a broad knowledge of housing and campus partner (Financial Aid, Orientation, Adaptive Services, Admissions, etc.) functions and business processes.
  • Escalates concerns to staff throughout the department and campus partners as needed.
  • Assists with incoming/outgoing mail, packages, and deliveries for the main office in the Ackert Community Center.
  • Reports facilities issues according to department procedures.
  • Assists with the application and assignment processes for 4748 bed housing system. Utilizes housing assignments database (RMS Mercury and StarRez) and University enterprise system (currently Banner) to complete housing applications, assignments, room transfers, cancellations, emotional support animal approvals, posting charges/credits and all other functions related to housing applications and assignments.
  • Assists with the management of multiple waiting lists and overflow housing processes.
  • Assists with implementing a communication plan including application letters, assignment notification letters, cancellation letters, and other communication related to the application, assignments, and billing processes.


Typical duties of the second vacancy may include but are not limited to:
  • Executes day-to-day front desk operations for the Central Housing Office, utilizing a queued phone system, main housing e-mail, and housing database system (RMS Mercury and StarRez).
  • Prepares and runs daily reports to verify charges are posted to student accounts and processes accounts receivable corrections, cancellations, and all other adjustments to student accounts (i.e. - daily app fee reconciliation, rental fee assessment, bed plan assessment).
  • Assists students and parents with questions and concerns, utilizing a broad knowledge of housing and campus partner (Financial Aid, Orientation, Adaptive Services, Admissions, etc.) functions and business processes.
  • Escalates concerns to staff throughout the department and campus partners as needed.
  • Assists with incoming/outgoing mail, packages, and deliveries for the main office in the Ackert Community Center.
  • Reports facilities issues according to department procedures.
  • Assists with the application and assignment processes for 4748 bed housing system. Utilizes housing assignments database (RMS Mercury and StarRez) and University enterprise system (currently Banner) to complete housing applications, assignments, room transfers, cancellations, emotional support animal approvals, posting charges/credits and all other functions related to housing applications and assignments.
  • Assist with collection efforts and prepares account validation documentation.
  • Coordinates the eviction process for residents with delinquent housing charges.
  • Assists with the management of multiple waiting lists and overflow housing processes.
  • Assists with implementing a communication plan including application letters, assignment notification letters, cancellation letters, and other communication related to the application, assignments, and billing processes.


Other Duties for both vacancies:
  • Other job-related duties as assigned.
  • Supports special projects and/or activities that may include after hour/weekend commitments.


Additional Job Description

Required Qualifications:
  • This position requires a high school diploma and six years of full-time experience directly related to the job functions.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.


Knowledge, Skills, and Abilities:
  • Knowledge of general office procedures.
  • Strong interpersonal, verbal and written communication skills.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects when numerous and diverse demands are involved.
  • Ability to operate office equipment including personal computer, copy machine, fax machine, and calculator.
  • Ability to operate personal computers with proficiency and learn new applications and systems
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to interact in a professional manner with a diverse group of staff, faculty, students, and the community in a service-oriented environment.
  • Ability to think critically and make clear, well-reasoned and timely decisions.
  • Ability to interpret and apply laws, regulations, policies and procedures consistently.
  • Ability to adapt quickly to changing situations and environments.

Hourly Range: $18.87 - $24.04
