Summary

The position is responsible for all communications and coordination between the involved medical facilities (offices, clinics and hospitals), preceptors, assigned students, and AZCOM in rotation related issues. The position reports to the Clinical Education Support Manager in the Clinical Education Department. This position is responsible for generating, completing and monitoring the medical facility, student, and preceptor paperwork for all assigned clinical rotations for 3rd and 4th year medical students.

Essential Duties and Responsibilities
  • AZCOM/Clinical Education Department Support
    • Process all student rotations in assigned region(s), or specialty
    • Send out and track return of Preceptor Student Evaluation forms of assigned rotations
    • Interface with Department Chairs and/or Associate Dean of Clinical Education concerning findings on Preceptor Student Evaluations
    • Serve as the point of contact for students regarding rotation scheduling concerns
    • Develop working and professional relationships with physician offices, clinics, hospitals regarding rotation scheduling
    • Work with COEE Department to facilitate/maintain affiliation agreements, preceptor teaching agreements, and other contractual agreements needed at rotation sites
    • Work as a team with other Clinical Education Coordinators, Department Chairs, their faculty and staff
    • Attend regularly scheduled Clinical Coordinator meetings
    • Provide assistance and coverage to other Clinical Coordinators for temporary workload increases and vacation periods
    • Administer facility and hospital paperwork; track compliance of student requirements for each site
    • Serve as the point of contact for rotation sites and students in regards to rotation credentialing
  • Specialty or Region Specific Support
    • Secure/assign office/clinic rotations at direction of Clinical Education Support Manager, the Department Chair or Associate Dean of Clinical Education
    • Secure/assign 4th year rotations for purpose of residency auditions
    • Assist students in completing/maintaining/auditing online VSAS rotation applications
    • Coordinate all rotations needed by other Clinical Coordinators
    • Meet regularly with Chair of Department to receive ongoing direction with regard to rotation needs, scheduling guidelines, and to provide status of rotations or preceptor issues
    • Assist with preparation of feasibility reports on new training sites for presentation by Chair to Dean of AZCOM
  • Hospital / Clinic / Office Support
    • Develop/audit hospital/clinic/office rotation rosters for accuracy each rotation block
    • Generate and distribute monthly rotation paperwork for hospital/clinic specific applications, i.e. HIPPA documentation, OSHA documentation, criminal background checks, and drug screen reports on a timely basis
    • Serve as a point of contact for student questions/concerns while on rotation at a particular facility
  • System Development
    • Work with Department Chair, the Associate Dean for Clinical Education, the Clinical Education Support Manager, and the Information Technology Department, when appropriate, to identify more efficient systems to process and evaluate work load, including RMS (Rotation Management System)
  • Other duties as assigned

Education and/or Experience
High school diploma or GED required. A one year certificate from college or technical school and/or Associate degree highly desired. Must have a minimum of 5-7 years of relevant work experience required. The ability to build positive rapport with many groups of internal and external stakeholders is required to be successful in this position. Experience working in a team and customer service oriented environment. Excellent written and verbal communication skills.

Computer Skills
Computer proficiency in MS Office (Word, Excel, Power Point, Outlook).

Language Skills
Intermediate skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability
Intermediate skills: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Mathematical Ability
Basic skills: Ability to add, subtract, multiply, and divide all units of measure using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to interpret bar graphs.
