Summary/Objective

This position manages the contractual support and administration for necessary goods and services in support of the university, under the direction of the Sr. Director of Contract Management - PCD with the support of three contract analysts and one contracts coordinator. Ensures longer-term functional objectives are translated into shorter-term tasks and establishes processes/procedures to ensure the effective and efficient operation of a complex function that includes all business and finance-related contracts within the CFO’s purview. This position works in the university's Procurement and Contracts department (PCD).

Responsible for oversight and contract review of contracts and work-flow processes. The contract review process should be timely and is expected to provides guidance and advice on contracts to end users to ensure minimal risk and liability to the university. Ensures compliance with university policies and audit requirements. Train end user customers as well as departmental individuals on systems and processes as required. The Senior Contracts Manager develops new templates while using a variety of existing ones, establishes contractual negotiation strategies and manages the helpdesk ticketing system. The Senior Contracts Manager ensures that approvals have been obtained from necessary offices with AU like General Counsel, Risk Management, Tax, Facilities, PPM and Information Services as appropriate, prior to obtaining the appropriate signature in or under the CFO’s Office and then the President or other related offices as needed.

Essential Functions

  • Manage the issue and solicitation of RFP/RFQ/RFIs. Actively identify potential contracts for renewal and develop a process to manage and notify end users of terminating contracts. Consult with departments to: identify future contractual needs; prioritize activities of current projects to ensure that departmental needs are met.

  • The Senior Contracts Manager will monitor and balance workload for the team; track the contract administration of those commodities, and assist the Senior Director on audit and reporting of those commodities. Project or process management experience is required.

  • Be responsible for and manage the contract management tool and esignature software (currently Docusign) that will be used throughout the organization. Assist the Senior Director with the implementation of training, Standard Operating Procedures, and procurement functions and will lead training sessions for University staff. Seek opportunities for professional and skill development of staff.

  • Establishes and monitors contracts for expiration and or renewal; assists and supports contract approvers. Provides and maintains contract details in Contracts Management Database (currently Service Now). Provides updated and needed database reports. Develops policies and new contracts as needed based on end users needs and requirements.

  • Develop as necessary new enterprise strategic supplier agreements replacing previous "preferred vendor" contracts or relationships. These new agreements entail business process and relationship governance features such as service level agreements, supplier performance metrics, and systems integrations that may have not previously been present in existing contracts. The Senior Contracts Manager will be responsible for making these new supplier agreements successful.

  • Other duties as assigned by the Sr. Director. Identify areas where it is advantageous to internal customers to use consortium or exisiting contract pricing as well as developing new RFP and/or contracts to cover current and future use.

Salary Range:
  • $95,000 - $115,000 annually

Required Education and Experience:
  • Bachelor's degree, preferrably a business or contracts related degree

  • 8-10 years of relevant experience

Preferred Education and Experience:
  • Master's degree, preferrably a business or contracts related degree

  • 5-8 years of relevant experience

Supervisory Responsibility:
  • Supervises three contracts analysts and one contracts coordinator

  • Ability to analyze contracts and determine compliance with terms, conditions, and company guidelines

  • Ability to be diplomatic in discussions with both internal and external customers, as well as an ability to be persuasive to achieve desired results

  • Ability to prioritize and manage multiple time sensitive business initiatives among business partners simulatenously

  • Ability to adapt to change & multiple changing priorities

  • Must be able to idenfity potential problems, conduct analysis and use judgement to determine if problem exists

  • Proven skills in basic financial modeling as well as proficient use of all Microsoft Products
