The Department of Epidemiology seeks a Project Administrator to provide administrative management of a variety of project management activities, including the PhD graduate program and research coordination.
Position Summary:
The position is a dual role, supporting both the Epidemiology graduate PHD program and specific research projects housed within the Department of Epidemiology in the School of Public Health at VCU.
Education Administrator:
Duties and responsibilities for this position include a 50% effort dedicated to student educational engagement, implementing aspects of the PhD graduate program and program dissemination. Reporting to the Program Director, the position will be responsible for administering the day-to-day activities of the graduate program, including developing and coordinating educational program strategic initiatives, developing and implementing program policies and procedures, developing and implementing evaluation activities, assessing student needs, coordinating program scheduling, identifying opportunities for students and ensuring that they are prepared for the job market. They will facilitate communication with prospective and current students, faculty, stakeholders, and alumni. The position will be responsible for recruitment activities, such as organizing the open house and promoting programs via social media. The position will have the knowledge to provide department and university information to current and prospective students, visitors, faculty, and staff, such as information regarding admissions, curricula, and programs as well as department policies and procedures. The position is responsible for keeping and documenting all educational records. The position is responsible for scheduling courses, resolving scheduling conflicts, submitting application materials for new courses, and ensuring that syllabi and courses comply with university procedures and regulations. The position is also responsible for understanding all requirements for graduation, application procedures associated with graduation and coursework completion, and for awarding and maintaining graduate assistantships.
Research Administrator:
Another 50% of the duties and responsibilities for this position will be dedicated to research administration. Reporting to Dr. James Burch, Principal Investigator (PI), this position involves the coordination and scheduling of research activities including meetings among investigators, research staff, and stakeholders, and the recording and preparation of written meeting minutes. This individual will also be responsible for: advertising, hiring and on-boarding research staff (e.g., research assistants, hourly/student workers); interfacing with Human Resources and other VCU departments or study sponsors; assisting with tracking expenditures and accounts payable; coordinating with research staff to assist in the scheduling of research participants; assisting with record keeping and research file management; and other research-related tasks as specified by the PI and his designees. The position will work the fiscal team to initiate, manage and track purchases of supplies and equipment, and help manage reimbursements of participants and research staff (incentives, mileage, parking vouchers). Additionally this individual will assist with the preparation of progress reports and other project-specific documents. They will also coordinate research-related schedules for team members and handle incoming calls and voicemail for the study, forwarding messages to appropriate team members as needed.
Qualifications
Minimum Qualifications:
- A bachelor’s degree or equivalent combination of education and experience
- 2-4 years of relevant experience in an academic or research setting
- Demonstrated ability to attend to details
- Positive and service-oriented attitude
- Exceptional organizational, interpersonal, and communication (both verbal and written) skills
- Ability to work in a collaborative environment
- The ideal candidate will be intrinsically motivated, enthusiastic, collaborative, detail-oriented, and forward-thinking
- Must have a demonstrated commitment to fostering diversity and inclusion in past experiences or a commitment to do so as a staff member at VCU
- A master’s degree in a related field
- Experience in the university student services arena (i.e., admissions, recruitment, records & registration)
- Experience with program or curricular development
- Experience in Banner
