Salary : $ 39,055.00 - $ 50,393.00 annually . Compensation will be commensurate upon experience and qualifications.

The Student Records & Enrollment Specialist works within the Office of the Registrar to support the front desk reception area and the incoming telephone calls to respond to all inquiries regarding student records, registration and enrollment, transcripts and general inquiries at the University of Colorado Colorado Springs (UCCS). This position serves as the primary point of contact for internal and external inquiries (written, phone, email, or in-person) for the Office of the Registrar. This position will be responsible for the efficient coordination of the Office of the Registrar and select administrative/clerical duties as determined by the needs of the unit. This position will support Office of the Registrar Operations with student record updates, add/drops, withdrawals, enrollment verifications, transcripts, and other tasks as needed.
Essential Functions
The duties and responsibilities of the position include, but are not limited to:
- Provides superior customer service at the reception desk and
over the telephone to students, faculty, staff and campus visitors
providing detailed information, as appropriate, pertaining to
student records, registration and enrollment, transcripts,
enrollment verifications, general campus information, and other
Office of the Registrar services.
- Organizes tasks, resolves problems, balances multiple
responsibilities, sets priorities, and meet deadlines
- Identifies which forms, policies, procedures, deadlines, and
signatures, if needed, are pertinent to a specific situation, and
provides relevant options, if available, to the customer.
- Acts as a resource for front office student employees and
university stakeholders.
- Thinks critically to identify issues and provide
recommendations for process improvement and procedure
implementation.
- Ensures compliance with the Family Educational Rights and
Privacy Act (FERPA) when communicating student information with
third parties.
- Reviews all forms and documents being submitted for completion,
including drop/add, withdrawal, pass/fail, enrollment
verifications, bio-demographic updates, COF waivers, tuition
classification, grade changes, FERPA forms, etc…
- Assists with student course registration, transcript ordering,
and completion of student records and enrollment forms.
- Ensures that incoming mail, faxes, and forms are sorted and
delivered to the appropriate location, and that outgoing mail is
delivered to the building mailroom.
- Validates completed forms in the document imaging system.
- Develops, evaluates, updates and maintains written policies and
procedures for all assigned areas of responsibility.
- Reviews materials and the campus website regularly to ensure
that information is current, relevant and accurate for all areas of
responsibility.
- Priority will be given to applications submitted by: October 15, 2024 .
- Potential interview dates: Week of October 28, 2024 - November 1, 2024.
- Potential start date: Week of November 11, 2024.

Qualifications :
Minimum Qualifications
Applicants must meet minimum qualifications at the time of hire.
- Education:
- A bachelor's degree from an accredited institution is required.
- Experience:
- Ability to learn and apply new skills related to database student records management
- Ability to work with various technologies/information systems/computer programs including a student information system, MS Office Suite, Adobe products, etc... is highly desirable.
- Ability to work with students, staff, and faculty within a higher education setting is highly desirable.
