Job Description:
PURPOSE: The Graduate School Program Management Specialist is responsible for providing administrative and clerical support to the graduate school’s academic programs. This role includes assisting with program coordination, student services, and maintaining records. The Specialist will work closely with the Graduate School’s Assistant Dean to ensure smooth operation and delivery of graduate programs.
Duties & Responsibilities:
- Administrative Support:
- Assist in the preparation and distribution of various program materials.
- Maintain and update student records, databases, and files.
- Schedule and coordinate meetings, events, and appointments.
- Respond to inquiries from students, faculty, and external parties in a timely and professional manner.
- Program Coordination:
- Assist in the planning and execution of program events, orientations, and workshops.
- Coordinate the collection and submission of student documents.
- Support the admission process by managing application materials and communicating with prospective students.
- Assist with course registration and enrollment processes.
- Student Services:
- Provide information and guidance to current and prospective students regarding program requirements, deadlines, and resources.
- Assist students with administrative processes such as course registration, form submissions, and accessing support services.
- Coordinate and facilitate student orientation sessions and other related activities.
- Communication:
- Draft and distribute program-related communications, including announcements and reminders.
- Maintain and update program websites and social media platforms.
- Liaise with other university departments to ensure effective communication and collaboration.
- Other Duties:
- Assist in budget tracking and financial reporting for the program.
- Provide support for special projects and initiatives as needed.
- Perform other administrative tasks as assigned by the Assistant Dean.
- Strong personal motivation, self-management, and attention to detail; ability to take responsibility for meeting deadlines and making progress without direct supervision
- Strong organizational and time management skills.
- Capacity and interest in learning new software and work routines; flexibility in responding to new projects and tasks as they arise.
- Strong spoken and written communications skills. Employee must be articulate and tactful, ready to work directly and frequently with faculty, staff and students.
- Ability to handle confidential information with discretion.
- Flexibility to work occasional evenings or weekends as needed.
- Bachelor’s degree required, masters preferred.
- Minimum of two (2) years of experience in higher education administration preferred (especially in graduate school administration).
- Environment: Office setting with occasional off-site meetings and events.
- Physical Demands: Sitting for extended periods, using a computer, and occasional lifting.
