Job Summary

The Environmental Data Science Innovation & Inclusion Lab (ESIIL) , within the Cooperative Institute for Research in Environmental Sciences (CIRES) at CU Boulder, encourages applications for a part-time (50%, 20 hours/week) Travel and Event Coordinator! This role will advance ESIIL’s goals of engaging and empowering a diverse environmental data science community by coordinating the travel for ESIIL working group members and ESIIL event participants. The Travel and Event Coordinator will ensure a seamless travel experience for ESIIL event participants, accommodating travel needs while also adhering to University travel policies.

ESIIL is a next-generation NSF synthesis center led by the University of Colorado Boulder in collaboration with NSF’s CyVerse at the University of Arizona and the University of Oslo. ESIIL enables a global community of environmental data scientists to maximize the wealth of environmental data and emerging analytics to develop science-based solutions to solve pressing challenges in biology and other environmental sciences. ESIIL holds inclusion as a core principle and method for diversifying environmental data science at a time when society needs all perspectives, and science needs to serve all. What Your Key Responsibilities Will Be

Coordinating Travel with Participants
  • Coordinate with ESIIL event participants to arrange travel dates, hotels, flights, transportation, and other meeting-related logistics
  • Connect with participants to help them understand event parameters, university policies, and ESIIL guidelines
  • Initiate and track stipends or reimbursements for participant travel expenses to ensure prompt payments
  • Consistently provide personalized travel information and updates to travelers
  • Interpret travel guidelines for travelers based on funding initiatives
  • Serve as liaison and primary resource for working group participants, providing guidance on how to best match their meeting needs to the resources available
  • Update ESIIL travel guidelines as needed
Event Planning and Support
  • Plan, coordinate and schedule ESIIL events, provide day-of support and troubleshoot logistical problems that may arise
  • Review events and solicit feedback to improve event workflows and processes and to ensure that events are operating within campus policies
  • Negotiate rates with event and travel service providers
What You Should Know
  • This is not a fully remote position.
  • The position will likely be a hybrid arrangement with some virtual work time and some in person work time as conditions allow following current Earth Lab, ESIIL, CIRES, and university guidance and policies. The in person time will be in the Earth Lab/ESIIL offices in the SEEC Building on the CU Boulder East Campus.
  • This position is a part-time (50%) appointment during regular business hours.
What We Can Offer

The annual hiring range for this 50% time position is $23,050-$28,800.

What We Require
  • Bachelor’s degree or equivalent experience in hospitality management, human resources, or related field
  • An equivalent combination of education and experience may substitute
What You Will Need
  • Advanced proficiency with Microsoft Office (Word, Excel), Outlook calendar software, Zoom, and Google Suite (docs, sheets, drive)
  • Proven dedication to equity and inclusion and the ability to work with diverse groups
  • Ability to work with a large volume of information, multitask, problem-solve and meet timelines
  • Proactive service oriented attitude, following up on open items, anticipating issues, closing loops on pending requests
  • Excellent organizational skills, meticulous attention to detail and incremental improvements
  • Strong writing and communication skills, comfortable interacting with a variety of audiences
What We Would Like You to Have
  • Tech savvy including proficiency with collaborative team software products or interest to learn (e.g., Asana, Trello, Zoom, Slack, Mentimeter, or others)
  • Familiarity with Concur travel and expense platform and DocuSign workflows
  • Experience in financial reconciliations adhering to university and federal travel policies
  • Experience working with traditionally underserved/underrepresented communities in STEM
  • At least 2 years of experience in hospitality, travel, or similar customer-service position
