Graduate Financial Aid Assistant
About the Opportunity
JOB SUMMARY:
The Graduate Financial Aid Assistant a hybrid position that is responsible for providing the highest level of customer service to students, applicants and their families seeking information and/or assistance via email, online ticket inquiries, or in person from Student Financial Services. The Graduate Financial Aid Assistant also provides administrative and counseling support by assisting and resolving inquiries, contacting other university offices as needed, and assisting with auditing of students' federal eligibility and aid awards. The Graduate Financial Aid Assistant is also responsible for the intake of financial aid paperwork and other disseminated materials for incoming and returning students.
RESPONSIBILITIES INCLUDE:
- Answer online ticket and email inquiries for current and prospective students and parents about the financial aid process.
- Ascertain the level of the inquiry and make an appropriate decision as to the correct action to be taken.
- If the situation can be resolved by providing program information or by accessing a student's record via computer, provide the information or email the appropriate forms.
- Whenever possible, resolve the situation or direct the student to the appropriate staff member.
- Managing the Missing Information Letter (MIL) process.
- Perform outreach campaigns as necessary.
- Assist with the per term audit of federal eligibility, adjusting aid as needed.
- Assist with per term awarding of Stipended Graduate Assistantships, Graduate student scholarships, and assisting with other special projects as assigned.
- Review and verify all incoming documents for errors or incomplete data.
- Upon receipt of documents, check additional screens for other missing documents and notify students of what actions they must take to avoid conflicts or time delays.
- Have a firm understanding of the criteria that satisfy the “completed” requirements for the following documents: federal tax returns, citizenship documentation, INS secondary confirmations, selective service documents, etc.
- When receiving application or verification materials, check additional screens for other missing documents and notify the student/family of what actions they must take to avoid conflicts or time delays.
- Greet Students, parents, and others, provide general information on the financial aid process for Graduate, CPS and Undergraduate Day populations.
- Deal with delicate and confidential situations and provide the necessary support to help resolve the situation.
- Retrieve student information via computer and determine where the student is in the financial aid process.
MINIMUM QUALIFICATIONS:
- Associates degree and two years of related office experience.
- Familiarity with computer systems to include working knowledge of Microsoft Word and Excel
- Knowledge and experience in customer service, strong organizational and interpersonal skills, ability to work in a fast- paced environment and ability to multi-task
