Purpose of Position

Reporting to the Director of Campus Recreation, the Associate Director for Facilities’ primary responsibilities include:
  1. Management of daily operations of the Campus Recreation Center.
  2. Supervision and development of 3 full-time staff members, two graduate assistants, and 75 student employees working in Facilities and Aquatics.
  3. Assist with overall management of Campus Recreation programs and services as a member of the department’s Senior Leadership Team.


Primary Responsibilities

Facility Management- 40% of the time
  • Establish, coordinate, and implement appropriate risk management plans for Campus Recreation Center operations.
  • Develop and coordinate facility operating schedules for academic year, summer, holidays/breaks and maintenance closings.
  • Utilize computerized scheduling software to create and disseminate accurate daily and semester scheduling information for the Campus Recreation Center.
  • Work cooperatively with representatives from Campus Recreation, Kinesiology, university departments, student organizations, and community groups to effectively schedule, staff, and supervise activities in the Campus Recreation Center.
  • Serve as the primary liaison with the Operations & Maintenance department regarding custodial services, maintenance and repairs, and building projects.
  • Establish and coordinate preventative maintenance schedules for facilities and equipment.
  • Develop, review, revise, and enforce policies and procedures relating to facility operations and use.
  • Conduct planning meetings with rental groups and obtain required paperwork (i.e., contracts, proof of insurance, etc.).
  • Serve as Hearing Officer to resolve conduct issues in Campus Recreation Center.
  • Coordinate and provide onsite supervision of special events and activities.
  • Assess facility programs and services by collecting data on program operations, participation numbers, and participant satisfaction and learning. Identify trends and concerns. Based on the analysis of the data, implement improvements in programs and services.
Fiscal Management – 25% of the time

  • Skillfully develop and manage a facility operating budget of over $250,000 dollars, meticulously adhering to university and departmental policies.

  • Accurately forecast, track, and record facility expenditures.

  • Strategically plan, research, and execute the purchase of equipment and supplies, ensuring the facility is always equipped for success.

  • Develop and implement a schedule for the replacement of departmental capital equipment.

  • Prepare rental agreements and invoices for rental groups.

  • Proactively seek out opportunities to expand departmental revenues, demonstrating a commitment to meet or exceed annual revenue targets.

  • Ensure payroll procedures for facilities area are performed accurately, timely, and in accordance with university and departmental guidelines.
Personnel Administration – 25% of the time

  • Oversee the development and supervision of 3 full-time staff members, two graduate assistants, and 75-80 student employees working in Facilities and Aquatics.

  • Directly supervise the following positions: Facility Coordinator, Aquatics & Programs Coordinator, and Facilities Maintenance Coordinator.

  • Create, encourage, and support professional development opportunities for full-time and student staff, including training programs, professional association involvement, research, conferences, and individual mentoring.

  • Establish, monitor, and assess SMART goals for all units and for all full-time staff and graduate assistants in the facilities area.
Serve on Senior Leadership Team – 10% of the time

  • Assist with overall management and supervision of departmental programs and services.

  • Establish departmental policies and procedures.

  • Develop, revise, and implement unit and departmental goals.

  • Foster teamwork, collaboration, and positive working relationships within the Campus Recreation department.

  • Develop and implement departmental assessment plans.

  • Serve on division and university committees.

  • Represent the Department of Campus Recreation at division, university, and community events.

  • Develop collaborative working relationships with other university departments, student groups, and community organizations.

  • Assist with departmental marketing and customer service plans.

  • Prepare departmental participation and financial and annual reports.

  • Coordinate graduate and undergraduate student staff training, development, and recognition programs.

  • Serve on departmental Risk Management & Safety Committee.
The earliest start date for this position will be November 18, 2024.

Qualifications
  • Minimum 5 years experience in managing university recreational facilities.
  • Minimum 2 years experience supervising fulltime staff, graduate assistants and undergraduate student employees.
  • Minimum 5 years experience with budget management
  • Experience operating and developing university aquatics facilities (preferred)
  • Assessment planning experience
  • Experience with computerized scheduling software
