For more than 70 years, the Counseling and Psychological Services (CaPS) at Carnegie Mellon University has been addressing the mental health needs of the university community by providing confidential treatment to students and collaborating with staff, faculty and family members. CaPS helps students improve their psychological health by facilitating insight and fostering deeper understanding of their personal struggles needed to make better choices for themselves. Services at CaPS are developmental in nature, aimed at supporting students in the moment and in their personal growth and maturation over time.
Carnegie Mellon University's Counseling and Psychological Services is currently seeking a full-time Administrative Receptionist. This role presents an exceptional opportunity for individuals who thrive in dynamic and engaging work environments. As part of our team, you will play a vital role in providing essential administrative and clerical support to the department.
Your core responsibilities will include:
- Perform intermediate-level office tasks including receptionist
and front desk duties, document processing, general office support,
and report generation.
- Greet students, faculty, and visitors warmly upon arrival at
the counseling center.
- Create a welcoming and supportive environment for individuals
seeking counseling services.
- Provide initial information about the counseling center's
services and procedures.
- Answer incoming calls and respond to inquiries regarding
counseling services, appointment availability, and general
information.
- Monitor and manage the counseling center's email inbox,
promptly responding to messages and forwarding them to the
appropriate staff members.
- Oversee the granting and revocation of access rights to
maintain security protocols.
- Create, format, and edit documents as required by the
counseling center.
- Ensure compliance at all times.
- Assist in ensuring smooth operations within the counseling
center.
- Use the center's scheduling system to coordinate appointments,
optimizing availability and accommodating urgent requests
- Guide clients through necessary paperwork for their initial
counseling sessions.
- Verify student enrollment status and insurance information
while maintaining confidentiality and accuracy of client
records.
- Contribute to the overall efficiency and effectiveness of the
counseling center's operations as directed by supervisors or
management
- Other duties as assigned
You should demonstrate:
- Proficient typing speed of 50 to 80 (WPM) with a high level of
accuracy.
- Strong troubleshooting skills for resolving common computer and
software issues independently.
- Willingness to learn and adapt to new software and technology
as needed for the role.
- High School Diploma/GED required
- 3-5 years of relevant experience required
- A combination of education and relevant experience from which
comparable knowledge is demonstrated may be considered.
- Successful background check
- Child Protection Clearances
- Typical Work Schedule: Monday-Friday from 8:30-5:00 pm.
An alternate work schedule allowing for evening and weekend hours
will be required on occasion.
- Sponsorship: Applicants for this position must be
currently legally authorized to work for CMU in the United States.
CMU will not sponsor or take over sponsorship of an employment visa
for this opportunity.
