About the opportunity:
The Administrative Coordinator for Undergraduate Programs in the D'Amore-McKim School of Business focuses on three key areas, providing: 1) direct administrative support for the Associate Dean, undergraduate Programs and overall organizational support for Assistant Dean and Directors within the Undergraduate Programs office; 2) budget management for all responsibility centers; and 3) assisting the Undergraduate Office in designing and executing relevant student programming, events and activities to enhance the D'Amore-McKim student experience both academically and socially.
Key Responsibilities:
Administrative Support (45%)
Support for the leadership of the Undergraduate Program Offices (UPO), particularly the Associate Dean. Key responsibilities include assisting with managing the calendars of the Associate Dean, coordinating and supporting regular and ad hoc meetings, and managing student and staff requests for meetings with UPO leadership. Schedule, attend, take minutes, coordinate voting, and perform additional administrative duties for UPAC (Undergraduate Programs and Assessment Committee). Manage TEAMS channels for relevant UPO groups. Assist academic advising in managing courses and programs in Courseleaf. Provide front desk and admin coverage during staff absences, as needed. In addition, this position will provide coordination and communication tasks for key UPO administrative processes, including the awards nomination/selection process, mass mailings, academic assessments, and additional UPO needs as they may arise.
Budget Management (20%)
Manage the internal budget reporting and reconciliation of all responsibility centers (Co-op, Employer Relations, BSBA, BSIB, various scholarships, case competitions, and student organizations) under the Associate Dean for Undergraduate Programs. Track payments to both internal and external vendors; pro-card purchases and reconciliation. Execute and maintain the internal control structure instituted by Northeastern University. Procure and ensure payment for purchases made within Undergraduate Programs. Complete Concur expense reports for Undergraduate Programs, as needed.
Student Services/Event and Program Management (35%)
Provide help in launching assessment strategies to analyze student wants and needs for programming. Create and implement relevant and useful student programming and events. Manage the calendar for Undergraduate Program events and complete DMSB event form for each event. Manage scheduling and logistics related to securing rooms and venues, setups, food and beverage. Order marketing and event materials; maintain and develop database to provide event marketing and outreach, invitations, and reservations. Assist in the planning and execution of undergraduate graduation. Work with DMSB Marketing & Communications on general public relations for Undergraduate Programs/branding.
Qualifications:
Bachelor's degree required. 2-3 years of experience in office support, event management, and strong administrative skills needed. Proficient in Microsoft Office (Excel a Must). Excellent interpersonal and communication skills. Must have superior multi-tasking and organizational skills with the ability to respond to various requests and tasks simultaneously. Strong follow through skills are essential. Budgeting and accounting knowledge needed. Must enjoy interacting with both internal (student, staff, and faculty) and external populations. Must demonstrate maturity, tact and have the ability to maintain a high level of confidentiality. Experience with Concur, and/or QuickBooks a plus.
