Description

SUPERVISION RECEIVED: Works under the supervision of the Associate Dean of the School of Nursing and Public Health.

SUPERVISION EXERCISED: Assists in the supervision of student workers.

POSITION SUMMARY: Acts as 12-month administrative support for two, twelve-month adult programs, six, year-round graduate programs and one doctoral program. This includes providing support for twenty two full time faculty, three staff members in addition to adjunct faculty that work within the School of Nursing and Public Health. Responsibilities include assisting school and program communication, completion of PA State Board of Nursing and Commission on Collegiate Nursing Education accreditation requirements, assisting with recruitment and admission events, acting as a liaison between programs in the School of Nursing and Public Health and community partners/stakeholders, and facilitating ongoing collaborative relationships with our practice partners. It also includes, assisting the clinical coordinator with the Nurse Practitioner (NP) program where responsibilities will include: onboarding students to clinical education management system upon program admission, ensure that clinical placement needs are met for NP students, and acting as a liaison between the NP programs in the School of Nursing and Public Health and community partners / stakeholders, while facilitating ongoing collaborative relationships with points of contact in NP placement sites.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
  • Provides primary support in correspondence and communication, school meetings, and activities, and operations management which are facilitated by or the responsibility of the Directors of the Accelerated Post-Baccalaureate (PB), RN to BSN, MSN, MSN/NP, DNP programs. In addition, works with the clinical coordinator for the School of Nursing and Public Health.
  • Works in tandem with other nursing and public health secretarial support staff to ensure smooth operations of all nursing and public health programs.
  • Answers telephone in a customer-friendly manner, routes messages to appropriate offices/departments, and provides accurate information to prospective/enrolled students, university personnel, and the community.
  • Prepares sensitive correspondence of a legal or confidential nature.
  • Complies with institutional policies regarding issues of employee and environmental safety and follows appropriate reporting requirements.
  • Verifies and monitors student and faculty credentials.
  • Prepares and maintains prospective and current PB, RN-BSN, MSN, and MSN NP student documents, as well as personnel records, accurately and in confidence.
  • Provides a preliminary transcript review of incoming PB applicants.
  • Maintains PB, RN-BSN, MSN, and MSN NP student databases regarding contact information, course enrollment, attrition/completion, and licensure/certification pass rates.
  • Maintains folders for students' plans of study as needed.
  • Distributes evaluation surveys via Qualtrics and documents results for PB, RN to BSN, MSN, and MSN NP programs.
  • Maintains databases for statistical purposes, as they relate to faculty functioning and workload.
  • Works with associate dean and program directors in preparing and managing communications with adjunct faculty, clinical preceptors, and students, including serving as administrator for the Typhon web-based program.
  • Updates the program, clinical site, student, and clinical instructor data in clinical management system.
  • Collaborates with the nursing SEM as needed for the graduate and adult nursing programs.
  • Assists healthcare networks with recruitment initiatives.
  • Creates and maintains shared Google spreadsheets with programs detailing all NP student clinical placement assignments.
  • Managing NP clinical education sites, onboarding, reviewing and approving all compliance documents students enrolled in the NP program.
  • Schedules formal and informal meetings for faculty and prospective and current students.
  • Participates and collaborates with faculty to plan special functions of the school of nursing and public health, e.g. student and faculty special events, PB/NP student orientation, the PB nursing celebration, and other functions as they relate to the work of the associate dean, program directors, clinical coordinator, and/or faculty.
  • Provides support and collaborates with faculty in organizing Sigma events
  • Works with associate dean and program directors in preparing and managing communications with adjunct faculty, clinical preceptors, and students.
  • Performs other job-related duties as may be assigned by the associate dean or requested by other school of nursing and public health faculty.
QUALIFICATIONS:

Associate Degree in Business/Secretarial Science or equivalent experience. Must be detail-oriented and well organized. Computing skills are required; proficiency in word-processing is essential; competency with internet and database use is preferred, specifically Microsoft Office and Google applications. Excellent interpersonal and oral communication skills are essential. Must be able to multitask and meet necessary deadlines. Must have the ability to work some evenings and weekends as needed.
