Job Description:

This position is eligible for up to two days remote work per week.

BASIC FUNCTION:

The Program Manager, Mission Integration manages the programmatic, operational, and organizational needs of the Office of Mission Integration and the McAuley Institute for Mercy Education including marketing and communications, event management, budget and grant management, and assessment and review, and provides administrative support for the Vice President for Mission, Planning, and Innovation. Reporting to the Vice President for Mission, Planning, and Innovation, the Program Manager supervises two work-study students.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Marketing and Communications
  • Oversee marketing and communications for the Office of Mission Integration and the McAuley Institute for Mercy Education in a manner reflective of mission
  • Develop and update related websites and online communications
  • Mange integrated social media outreach via Instagram, Facebook, and YouTube for the Office of Mission Integration and the McAuley Institute for Mercy Education
  • Oversee the creation and development of mission-related banners, posters, digital signage, and other cultural items to communicate mission and values on campus and online.
  • Develop and organize regular news stories in collaboration with Mission Integration division staff and create monthly Mission Integration corner for HR newsletter
  • Produce Mission Integration annual report and contribute to stewardship reports.
  • Hire and supervise work study student: Assistant Coordinator of Marketing, Communications and Events.
Event and Program Management
  • Manage the programs, lectures, events, and receptions sponsored by the McAuley Institute for Mercy Education and the Office of Mission Integration including the McAuley Institute Lectures and Voices of Mercy, as well as all meetings or events sponsored by the Office of Mission Integration.
  • Manage all calendaring, room reservations, catering, reimbursements, the production of program booklets, readers, and reports for faculty, staff, and student cohort groups sponsored by the Office of Mission Integration such as Leading with Mercy and the Mercy Faculty Forum.
  • Manage all public events related to the Critical Concern Interdisciplinary Collaboratives with McAuley Institute Scholars and Fellows including campus roundtables, seminars, and lectures.
  • Coordinate Mission Integration operational logistics, marketing and communications for contributions to signature mission events such as Mercy Week, MLK Week and Earth Week
  • Manage outreach, operational and organizational needs for annual faculty/staff Mercy mission retreat
  • Plan logistical support for committee meetings and related events of the Board of Trustees Mission Committee
Budget and Grant Management
  • Independently manage budgetary needs of the Office of Mission Integration, including preparing check requisitions and purchase orders, maintaining budget spreadsheets and monthly reconciliation of procurement card accounts, and compiling monthly and yearend financial reports.
  • Oversee the management of grants of McAuley Scholars associated with the Critical Concern Interdisciplinary Collaboratives, producing regular reports, processing expenses and reimbursements and managing related student employment needs
  • Manage the grant tracking and reports for the external grants and gifts of the Office of Mission Integration and the McAuley Institute for Mercy Education
Assessment and Review
  • Implement and manage assessment surveys and data related to the Office of Mission Integration and generate related reports to inform institutional programs and priorities.
  • Generate and execute regular assessment surveys for McAuley Institute for Mercy Education signature programs and events
  • Compile data from university sources to inform regular CMHE mission review in relation to eight core areas of mission integration
  • Oversee the ASSHE STARS sustainability data study for Salve Regina University
  • Hire and supervise Sustainability Coordinator (work study student) and together develop plan for regular campus engagement and education related to sustainability and the Critical Concern of Earth
  • Support the University Sustainability Committee, meeting four times a year to develop and advance campus sustainability goals (with Sustainability Co-Chairs)
  • Coordinate Earth Week website production, publicity, and outreach
Sigma Phi Sigma
  • Serve as Co-Moderator for Sigma Phi Sigma, Mercy Honor Society
  • Oversee and support nomination and selection process for each new class of Sigma Phi Sigma members with co-moderator and student executive board
  • Work with student executive board to plan and host regular meetings, events, service engagements
  • Support university signature events such a Convocation and Luminaria, with Sigma Phi Sigma leadership
  • Plan Sigma Phi Sigma Induction, Senior Pinning, and Installation of New Officers with co-moderator and student executive board
Administrative Support
  • Provide administrative support to the Vice President for Mission, Planning, and Innovation and support the daily operational activities of the Office of Mission Integration in an efficient manner.
  • Record and transcribe minutes for all committee meetings chaired by the Vice President for Mission, Planning, and Innovation, and maintain and organize all related records, cloud and paper files.
  • Prepare, edit, and/or proofread office correspondence, emails, reports, agendas, confidential materials and other related materials as directed by the Vice President for Mission, Planning, and Innovation.
  • Answer and screen incoming telephone calls; receive, assist, and host visitors to the office in a professional manner.
  • Manage calendar requests and arrange all travel and accommodations for the Vice President for Mission, Planning, and Innovation.
  • Order and maintain office supplies for the Office of Mission Integration.
OTHER DUTIES AND RESPONSIBILITIES:

As directed, conduct research to assist the Vice President for Mission, Planning, and Innovation in program development and reporting, including research on peer institution programs, policies, and practices.

Assist in all special projects of the Office of Mission Integration, including those involving the collaboration of the Center for Spiritual Life and the Center for Community Engagement and Service.

Perform other duties as assigned by the Vice President for Mission, Planning, and Innovation.

Requirements:

Required qualifications:
  • Bachelor's degree
  • Proficient computer skills required, with strong working knowledge of Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook)
  • Must have the ability to record and accurately transcribe notes of meetings and compile and prepare statistical data
  • Strong oral and written communication, organizational and interpersonal skills are required.
  • Must be able to work independently with minimal supervision and demonstrate initiative in approaching tasks.

Preferred qualifications:
  • Familiarity with the Adobe Suite (Acrobat, Photoshop, InDesign), as well as the capacity to learn and use campus information technology and manage databases
  • Website development experience preferred
  • Experience in a higher education setting
