Carnegie Mellon-Architecture (CM-A) seeks a thorough, detail oriented Administrative Assistant to join the team. This is an exciting opportunity for someone who thrives in an interesting and challenging work environment. You will contribute to the department by providing support with the day to day operation of the administrative office on a regular Full Time basis during standard business hours. This position will report to the Head of School.

Core responsibilities include:
  • Answer phone calls and handle messages sent to the shared FrontDesk email account.
  • Direct visitors, deliveries, etc.
  • Distribute mail and packages into appropriate mailboxes. Deliver packages to faculty offices
  • Post signage around the school.
  • Setup faculty and staff mailboxes at the beginning of each semester.
  • Organize and maintain the main office, mail room and common areas.
  • Review coffee, water & office stationery, hand-outs, merchandise, cups and plates, and miscellaneous supplies. Place orders to replenish.
  • Scan documents for current use and archival purposes.
  • Manage online calendars for SoA room reservations.
  • Manage checkout for keys to SoA rooms.
  • Place catering orders for events and meetings and meet delivery drivers as needed.
  • Setup catering for events, public programs, faculty/staff meetings etc. and Assist with cleanup as needed.
  • Rearrange furniture for meetings and events as needed.
  • Maintain inventory of school merchandise
  • Report depleted paper towels, soap, etc. to Maintenance and send requests for immediate repairs to FMS. Defer other requests to SoA’s Facilities Planner.
  • Review syllabus submissions and apply standard formatting before saving them for Assoc. Head Review. Prepare reporting statistics.
  • Other duties as assigned.

You should demonstrate:
  • Must be proficient in Google Suite of Apps (Docs, Sheets, etc) and or MS Office applications.
  • Able to lift 50 lbs.
  • Travel from building to building to hang event posters or deliver packages
  • Organize and collect unused materials from the studio
Qualifications:
  • High School or GED required, Associate’s degree preferred
  • 3-5 years relevant experience
