The Wisconsin Veterinary Diagnostic Laboratory (WVDL) provides testing and diagnostic services for all types of animals, with emphasis on services for farm animals. Accredited by the American Association of Veterinary Laboratory Diagnosticians (AAVLD), our Madison lab is a designated National Animal Health Laboratory Network (NAHLN) Level 1 laboratory. We pride ourselves on our customer service, dedication, and forward-thinking. Many of our doctoral staff are nationally recognized leaders in their fields. As part of the Wisconsin Idea, we strive to be global leaders for diagnostic testing, excelling in the dairy industry, the bull stud industry, and emerging infectious diseases. Our Barron Laboratory plays a crucial role in the National Poultry Improvement Program (NPIP) through its service to the poultry industry.
About the position:
The Administrative Assistant at WVDL supports the Client Services Section by transferring data from client submissions into the testing database and providing receptionist support.
Responsibilities: Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision

Proficient in rapidly learning internet-based system and adept at mastering office and campus processes with minimal supervision.

Excellent interpersonal and customer service skills, with the ability to use tact, courtesy, and discretion.
Work Schedule:
Work Schedule: Monday through Friday starting at 7:45 am to 4:30 pm
This position requires work to be performed in-person, onsite, at a designated campus work location.

Responsibilities: Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision
- 5% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- 20% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
- 5% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
- 20% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
- 50% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
- Enter testing and client data accurately into the WVDL laboratory information management system (LIMS).
- Answer incoming phone calls professionally. Provide accurate and knowledgeable information to assist the caller.
- Comply with WVDL safety and quality requirements (see Quality and Safety manuals).
- Identify calls that require transfer to the appropriate WVDL employee for resolution.
- Schedule parking spaces and meeting rooms.
