Overview of Administrative Assistant
The PNW Accessibility Center at Purdue Northwest is seeking an Administrative Assistant to provide administrative support for a group of professionals in a highly confidential fast paced office with multiple time sensitive demands while remaining calm and positive under pressure. Perform a variety of administrative tasks including handling incoming inquiries, overseeing the hiring, training, and supervision of student note takers, providing accommodated testing logistics, maintaining budgets, reports, databases, calendars, scheduling meetings and events, preparing for the same, and arranging travel. May create or implement systems, agendas, flyers, or promotional materials. May update and maintain websites, databases and mailing lists.
The PNW Accessibility Center serves as liaisons, consultants, access coordinators, academic coaches, and a source for referral for college ready students with documented disabilities, families, faculty, and staff of Purdue Northwest. It is our goal to ensure students with documented disabilities who follow our process receive an accessible PNW experience.
Pay:
- $18.68/hour
- Monday - Friday, 8 am - 5 pm
- Occasional evening work; will flex schedule to accommodate
- First point of contact for students, parents, faculty, and others visiting the Hammond PAC, and occasionally Westville office utilizing excellent customer service skills.
- Answer inquiries and direct visitors to staff and/or appropriate resources.
- Monitor and respond to department emails.
- Arrange and maintain schedules and appointment calendars for PAC staff; this includes following up as necessary with email confirmation and sometimes phone calls. Ensure all online forms are sent out prior to each scheduled appointment.
- Assist with event planning and implementation with appropriate collaborating offices and facilities and setup for outreaches and other events.
- Communicate and correspond with faculty, staff, students, Vocational Rehabilitation, Professional Interpreting Services, medical providers, and other universities regarding procedural aspects of PNW Accessibility Center.
- Manage logistics of accommodated testing according to the students Access Plan including but not limited to: retrieving exams, securing exams, converting exams, proctoring exams, scribing exams, returning exams, and scheduling testing rooms.
- Assist students with and schedule students' exams, when students cannot do so through AIM.
- Assign testing spaces to students, some of whom require specific spaces.
- Conduct searches for tutors and student access assistants.
- Hire tutors and access assistants.
- Supervise tutors and access assistants
- Collaborate with staff, recreating PAC outreach and educational materials, and initiatives.

Education of Administrative Assistant
- Requires a high school diploma/GED
- Bachelor’s degree preferred but will consider similar experience and skill
- Three years of administrative support experience required
- Administrative support experience in Higher Education environment is preferred
- Experience working with students with disabilities as well as other diverse populations is also preferred
- Ability to work with highly confidential materials and take initative to anticipate needs of the PAC staff, faculty, and students
- Ability to communicate university policies and procedures; basic skills using Microsoft Word creating correspondence and the ability to use mail merge; basic skills in Microsoft Excel creating and entering data into a spreadsheet. Microsoft PowerPoint and Access skills are preferred.
- Must have strong skills using internet and email communication
- Familiarity with assistive software and technology used by students with disabilities, is preferred.
- Must have the ability to navigate databases and other computer programs
- provide excellent service to internal and external customers and work effectively with diverse groups of individuals
- ability to effectively communicate verbally and in writing, use good judgement and function in a fast- paced environment with numerous interruptions
- conduct oneself in a professional manner; adapt well to changes and willingness to learn new things
- Provides students inquiring about disability services with literature that outlines the documentation needed for review in determining an appropriate accommodation if applicable
- Meet with new students to review accommodation letters and to discuss DAC policies and procedures related to individual accommodations
- Meet with students to discuss concerns regarding accommodations, academics, or personal issues
- Conduct “well-being” checks (telephonically or by appointment) on students who have self-identified with academic or personal concerns or who have not sent their Access Plan
