POSITION: Executive Assistant – Development

Position Responsibilities
Proactively manage active and shifting calendars of the CEO and CAO and arranges all internal and external appointments. Coordinates donor, prospect, and other meetings for CEO and CAO including scheduling and logistics; collecting materials and enclosures based on known interests and briefings, and ensures timely and appropriate follow-up. Organizes and maintains CEO’s and CAO’s paper and electronic files and address/contacts in CRM. Manages and records the CEO’s and CAO’s interactions with donors, prospects, and others including emails, phone calls, visits, contact reports and proposals in the CRM. Assists with the preparation and editing of communication from the CEO and CAO including emails, letters, reports, and PowerPoint presentations paying close attention to accuracy, quality, and timing. Schedules and coordinates the CEO’s and the CAO’s travel arrangements, including developing itineraries and assembling travel packets with meeting briefs, creating meeting agendas, other relevant documents and post meeting follow-up. Independently draft and proofread professional memos and correspondence. Manage and collect ad hoc data for special projects and reports. Provide input into the establishment of new ideas and initiatives. Assist in managing workflow and office operations in collaboration with other Senior leaders. The newly created Executive Assistant will be an integral member of the team by provide regular administrative assistance directly. The individual will be expected to work 40 hours per week, arriving each morning by 8:30 am and leave each evening at 5:00 pm. The day will include one hour for lunch.
Qualifications
The position requires a minimum of three to five years of relevant experience, or the equivalent. A Bachelor’s degree or equivalent of related experience is preferred.
The successful candidate must be a team player with excellent verbal and written communications skills, word-processing and database management skills who is interested in the mission of Ron Brown Scholar Program. In addition, the successful candidate should:
- Be a highly motivated, professional team player with courteous interpersonal skills and excellent customer service skills. Have the ability to apply sound judgement in all situations, take initiative, manage multiple projects simultaneously, meeting deadlines, and able to work independently with meticulous attention to detail. Have experience assisting with executive boards, donors and key stakeholders; Have a demonstrated proficiency in Microsoft Office (particularly Outlook, Word, Excel and PowerPoint); and the capacity to learn new programs (e.g. Salesforce) on the job; Have the ability to organize, prioritize, handle multiple projects; Is detailed-oriented, highly accurate and has a strong work ethic; Works well under pressure, able to meet the demands of a “customer-driven front office” environment; Be willing to work as needed basis on special programs or projects; Works well independently and collaboratively in a small team environment; Adaptable and able to exercise good judgment in the handling of confidential files and information;
