Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.
Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation. The determination of a 'satisfactory background investigation' is made at the sole discretion of the University of the District of Columbia. Essential Duties and Responsibilities
- Provides administrative support to ensure efficient operation(s) of assigned unit and WDLL division, as applicable.
- Efficiently manages unit-specific and division-wide (as applicable) phone calls, scheduling meetings, and supporting visitors, Students, Instructors, partners, and UDC and WDLL Staff.
- Assists with unit/pathway-specific student admissions, monitoring, tracking, and follow-up processes to support all WDLL Students success.
- Carries out administrative duties such as filing, word-processing, copying, binding, scanning etc. and maintaining all division-wide policies and procedures.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
- Exhibits polite, professional, and effective communication via phone, e-mail, and mail.
- Supports team by performing and adhering to all unit and division-wide policies, procedures, and expectations.
- Assists and collaborates with all division-wide support units (i.e., facilities team, career services, admissions, academic advising) to ensure proper operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Maintains unit-specific supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Participates in coordinating and supporting unit specific and division-wide activities and events (e.g., open houses, information sessions, career/advising events, etc.)
- Assists and serves as back-up support in collaboratively ensuring that all pathway specific classrooms, office spaces, and general meeting areas throughout the division/campus are always prepared and ready for use.
- Performs other duties as assigned.
Minimum Job Requirements
- High school diploma or equivalent required; college preferred.
- Minimum of three (3) years of administrative experience required.
