Success Studio Coordinator

Job Description

The Coordinator will report to the Assistant Provost to ensure that the programs and services within the Success Studio operate smoothly. This position will support the areas of academic advising, student accessibility services, and academic support and serves as a main point of contact for visitors to the Success Studio. The coordinator works with the Success Studio team members on developing and maintaining high quality service.

Essential Functions
  • Serve as primary and initial contact for the Success Studio which encompasses Academic Advising, Academic Support, and Student Accessibility Services. Respond to the main telephone line and email accounts, as well as answer general inquiries and refer to other departments as needed.
  • Responsible for maintaining Success Studio spaces and departmental calendars. This includes scheduling appointments, events, and requests to reserve space.
  • Oversees the hiring, training, and support of Student Office Assistants in the Success Studio.
  • Support updating information on various social media and web-based platforms and keeping electronic files organized in department and team folders. Assist in the preparation and distribution of informational materials, such as newsletters, flyers, materials for advising sessions, events, workshops, and office meetings.
  • Organize, establish and maintain work processes and documentation to ensure that students, potential students, faculty, staff, parents, and guests are receiving services, understanding policies, and being referred appropriately.
  • Serve as main administrative support to Student Accessibility Services. This includes outreach with current and prospective students and families seeking accommodations and uploading clinical documentation to our Student Accessibility Services database.
  • Coordinate the implementation of exam accommodations, including scheduling the use of our testing room, acquiring exam materials and instructions, proctoring student exams, and returning completed exam materials to faculty.
  • Serve as main administrative support to Academic Advising. This includes acting as the first point of contact for students visiting the advising office, managing walk-ins and appointments, providing information, answering questions, and directing them to the appropriate advisor or resource. Event Support: Help in organizing and supporting advising events, including workshops, orientation sessions, and advising fairs. This might involve preparing materials, setting up event spaces
  • Ensure that all student records and personal information are handled in accordance with institutional policies and privacy regulations.
  • Policy Adherence: Assist in enforcing office policies and procedures and ensure that all tasks are performed in compliance with institutional guidelines.
Minimum Qualifications:
  • Associate’s degree
  • 1-3 years customer service experience that includes assessing inquiries, providing appropriate information and proven ability to maintain confidentiality.
  • Familiarity and expertise with information technology, including administrative software systems, Microsoft Office, online communication tools and social media platforms.
  • Ability to coordinate and prioritize work with multiple and conflicting demands in a deadline-oriented environment.
Preferred Education Qualifications:
  • Bachelor’s degree
  • Experience working with confidential information and records.
