Job Description
The Office Coordinator will oversee the daily operations and serve as the front-line for internal and external stakeholders of the Center for Student Life, which is comprised of the Student Engagement and Transitions & Family Engagement departments. The Office Coordinator will provide primary administrative support to the operations of the Center for Student Life, including drop-ins, phone calls, referrals, student work study oversight, and website management. Functions with the Center for Student Life include commuter student services, student transition, graduate student life, student engagement, and family engagement. This position’s priority is to provide outstanding customer service for our students, families, and all members of our community while m aintaining a polite, helpful, and professional manner at all times.
The Office Coordinator will work to meet the vision of the Division of Student Affairs: Every Student Thrives. The Office Coordinator represents the Center for Student Life and the Division Student Affairs on various committees, working towards advancing the strategic goals of the Center and the Division.

The hours of the position are 8:30 am to 4:30 pm, Monday through Friday.
Key Responsibilities:
Customer Service and Communication
- Promptly respond to queries via email, phone, and live chat. Manage studentlife@wit.edu email account and main office phone line .
- Liaise with colleagues to find the best solutions to community members’ questions or concerns. Identify common problems and escalate them to appropriate team members, along with possible suggestions for improvement, wherever possible.
- Receive and evaluate community member requests for information and make referrals to appropriate staff.
- Welcome drop-ins to the Center and provide them with appropriate support.
- Oversee the social media presence of the Center for Student Life by organizing and scheduling content and streamlining information sharing.
- Assist with the ordering of supplies and organize all supplies and files necessary as a part of Center operations.
- Assist with the deposits for all revenues brought in through event management and ticket sales
- Maintain and administer purchasing and budgeting of retail and fundraising merchandise for Info Hub and online storefront.
- Manage office petty cash
- Manage University issued purchasing card, ensuring that statements are submitted in a timely manner.
- Assist in arranging and organizing events, including room reservation, working with catering and Physical Plant.
- Assist staff in vendor procurement and purchasing.
- Assist clubs and organizations with their travel needs and programming purchases
- Assist with commuter student support services, such as MBTA pass distribution and commuter locker leases
- Serve as content manager for the Center for Student Life website coordinating with the staff from each functional area on desired content and updates.
- Assist in the preparation of print jobs, composing correspondence, editing letters, and creating and ordering promotional materials.
- Hire, train, and supervise student work-study staff for the Center for Student Life and the Info Hub. Training includes office/Info Hub protocols, services, and customer service standards. Staff fluctuates from 20 – 30 students per semester.
- Oversee training documentation and professional development for student staff.
- Administrate timesheets in Workday for student employees
- Effectively utilize student staff to support university needs and functions, including campus flyer posting, equipment rental, and event support
- Organize project management for student work-study students balancing the needs within the functional areas of the Center.
- Team building and recruitment event coordination for student employees.
Required Qualifications:
- High School Diploma or GED
- 1-3 Years of work experience
- Strong interpersonal communication skills
- Demonstrated commitment to Diversity, Equity, and Inclusion
- Demonstrated success in project management
- Bachelor's degree
- Comfortable with using and learning technology (Square sales platform, Microsoft Office, Website Content Management, Design Software, WorkDay, Fusion)
- Previous customer service experience
- Experience supervising staff in previous role(s)
- Ability to speak a second language.
