- Experience as an administrative assistant, secretary, or bookkeeper.
- Organization, planning, and time management.
- Experience with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneDrive).
- Work effectively and courteously with co-workers, staff, faculty, and students.
- Prepare clear, concise, and grammatically correct correspondence and documents.
- Multitasking and prioritizing workload.
- Close and accurate attention to detail.
- Work independently under moderate to little supervision on varied and potentially complex tasks and assignments.
- Knowledge of University Policies and Procedures.
- Experience with student information systems.
- Experience with the hiring documentation process.
- Supervision of student workers or staff.
- Experience with SAP .
The Administrative Assistant III provides administrative and clerical support to the department chair. This position is in-person on the San Marcos campus.
Job Duties
- Oversee and manage routine operations of the department.
- Coordinate department meetings, including room reservations, scheduling, and snacks/meals, as needed.
- Respond to incoming phone calls and emails for the department. Transfer callers to other offices, as needed.
- Organize, prioritize, direct, and oversee office work assignments for staff and student workers.
- Train, mentor, and manage staff in learning and executing their job responsibilities.
- Hire and onboard new department staff.
- Manage and onboard new department, returning, and adjunct faculty.
- Process Personnel Change Requests (PCRs) for student workers, faculty, and staff.
- Gather necessary forms from student workers, faculty, and staff for hiring and maintain personnel files.
- Manage and implement hiring processes for graduate assistantships.
- Greet students, faculty, and visitors to the department office. Provide guidance or referrals to them, as needed.
- Establish and maintain an effective filing system for department records.
- Maintain office supplies for department. Purchase new supplies, as needed.
- Submit approved reimbursements for students, faculty, and staff for business meals, supplies, and other expenses.
- Request parking passes and guest parking, as needed.
- Maintain responsibility for department purchasing card and ensure that expenses and receipts are sufficiently tracked, submitted, and reconciled.
- Setting up instructors in curricular management system.
- Process override requests with appropriate approval from program faculty, as needed.
- Support department with additional administrative duties, as needed.
- Keep track of due dates for all assignments and projects.
- Monitor and maintain department operational budget transactions and maintain accurate reconciliation.
- Review and process purchase orders and invoices.
- May be asked to provide insight on process improvements and successful outcomes.
- May make recommendations for solutions.
