  • Randolph-Macon College, a liberal arts institution of 1,620 undergraduate students, located in Ashland, Virginia, seeks a talented, innovative, and experienced professional for the position of Payroll Administrator. Reporting to the Assistant Vice President of Finance, this key position ensures the timely completion of the bi-weekly, student and monthly payrolls for the College utilizing ADP Workforce Now, the College’s payroll and HRIS system.

    Essential Duties Include:
  • Ensures the timely completion of bi-weekly, student and monthly payrolls.
  • Prepares and processes the retirement contributions.
  • Create the monthly student work study report to submit to Financial Aid for updating the Federal Work Study (FWS).
  • Process Health Savings amount, upload each pay period, provide funding details and process the journal entry upon approval.
  • Reconcile payroll and benefit liabilities accounts monthly. Reconcile the 941 on a quarterly basis.
  • Produces payroll and audit reports as required.
  • Answers payroll related questions for employees and provides verification of employment for outside inquiries.
  • Compiles salary information for annual Workers’ Compensation audit (annually) as well as the midyear estimate.
  • Responsible for payroll records retention, cancelled/voided checks, W-2s and timesheets.
  • Complete journal entries for monthly, student and bi-weekly payroll, including retirement payments and HSA entries.
  • Process the daily deposits, verify cash, and process the checks through the Truist online check system. Compile a cash deposit bi-monthly or as needed.
  • Performs other duties as assigned by the Assistant VP of Finance.
Qualifications:
  • High school degree with at least 3 years’ experience in payroll preparation required. Bachelor’s degree preferred.
  • Knowledge of ADP Workforce Now and accounting principles a plus.
  • Good knowledge of payroll regulations.
  • Experience with payroll preparation software.
  • Experience with Microsoft Word and Excel.
  • Ability to deal with students and coworkers in a courteous manner.
  • Knowledgeable on paying international workers.
  • Experience composing letters to child support agencies and other courts.
