Description

The Human Resource Services Department invites applications for a Administrative Associate IV to provide the administrative support required for the successful operation of the University of Montana (UM) Human Resource Services (HRS) department. Reporting to the Associate Vice President (AVP) of HRS, you will provide primary administrative assistance to the AVP, as well as to other members of HRS management, and the People & Culture sector leadership teams as assigned.

Examples of Duties and Responsibilities
  • Respond in an accurate and timely fashion to a variety of inquiries from all members of the UM workforce (including classified staff, managers, supervisors, faculty, campus administration), as well as those received from key external stakeholders and the general public
  • Represent the HRS department in a positive and productive manner while responding to phone calls, email messages, and other business correspondence
  • Provide guidance when responding to policy and procedural questions of a general to complex nature, while working to triage specific requests with the appropriate subject matter experts
  • In coordination with the People & Culture sector Director of Internal Communications, design, prepare and coordinate the distribution of announcements to the UM campus community
  • Participate in various committee meetings as assigned, and work to accomplish HR related committee coordination
  • Research, gather and compile information required for a wide variety of reporting purposes
  • Actively participate in budget process by completing related tasks as assigned
  • Manages department calendars and scheduling logistics
  • Work with colleagues within the HRS department to ensure that the Workforce Support Center front desk is adequately staffed during all hours of operation (including staffing this area as assigned)
  • Serve as a productive HRS team member by maintaining effective working relationships both internally and externally
  • Maintain strict confidentiality when working with sensitive or proprietary information; and exercise good judgment related to this area of responsibility when communicating with clients
  • Other duties as assigned
May hold responsibility for functional oversight of student employees assigned to work within the HRS department.

Minimum Qualifications
  • High school diploma (or equivalency), as well as at least four (4) years of directly related work experience within a highly interactive business environment; or any combination of experience and education
  • Experience using commonly utilized office software, such as Microsoft Office (Word, Excel, PowerPoint, Outlook) and other, similar software tools
  • Demonstrated proficiency in the use of common office equipment, including printers, copiers, multi-line telephone systems, and other related hardware
  • Highly developed organizational skills and ability to maintain an exceptional level of attention to detail
  • Exceptional professional communication skills (including those required for both verbal and written communications)
  • Ability to effectively and efficiently manage multiple tasks and prioritize workload
  • Intermediate level data entry and word processing skills
  • Ability to meet strict deadlines as assigned
  • Highly developed customer service skills (including professional telephone and email etiquette)
  • Ability to work productively and efficiently both independently and as a part of a team or workgroup
  • Skills and abilities required for adaptability and a demonstrated willingness to learn effective use of new software, or application of policies and procedures
  • Demonstrated ability to exercise discretion and confidentiality when handling sensitive or private information
Preferred Qualifications
  • Proficiency in business travel procedures
  • Proficiency in basic accounting skills
Additional Information

Position Number: 013500
Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year
Probationary Period: Six (6) months minimum
Benefits Include : Insurance package, mandatory retirement plan, partial tuition waiver, and wellness program.
