Assistant Director for Operations



Job Summary

Macky Auditorium at the University of Colorado Boulder encourages applications for our part-time Assistant Director for Operations! The Assistant Director for Operations works under the general supervision of the Director of Macky Auditorium and in collaboration with peer Assistant Directors (Production, Administration, Patron & Stakeholder Services) and College of Music colleagues (CU Presents) to ensure the successful execution of all events and functions, with concentration on rentals by campus and off-campus presenters. The position also acts as the marketing and ticketing liaison for Macky Auditorium.

This is a 50%-time position with potential for additional hours depending on events schedule through the season, and/or evolution of scope of work. This position acts as support for the Director broadly in both Macky and Artist Series operations. More specifically, this position assists in the communication with promoters and is responsible for the life cycle of rentals including developing estimates, building and routing of rental agreements, liability insurance and ensuring compliance with campus and Macky regulations and policies, and final invoicing.

This position is responsible for Macky’s website development and content, collaborates with clients on in-campus promotions of events including social media, CU event calendar and CU Boulder Today.

This position works to support presenters which provide their own ticketing services as they interact with Macky infrastructure and assists presenters that need ticketing services to provide an adequate platform. This is an evolving area of Macky’s business and requires adaptability and problem solving. This position assists the Director and collaborates with College of Music and campus resources to identify and establish reliable and profitable ticketing solutions.

This position requires work during varying evening and weekend hours during events and the ability to coordinate multiple schedules.

Macky Auditorium Concert Hall is a multi-disciplinary venue and an auxiliary unit of the University of Colorado's College of Music. One of the 12 buildings that form the Norlin Quadrangle Historic District, it serves the campus and the region by entertaining, educating and challenging audiences with high quality local, national and international performances and events. A wide range of performers and speakers have graced our stage throughout the years, such as Eleanor Roosevelt, the Dalai Lama, Yo-Yo Ma, Jane Goodall, Robin Williams, Conan O’Brien, Bill Maher, Eddie Izzard, Alley II, Neil deGrasse Tyson, Sam Harris, Pilobolus, and Bill Nye, just to name a few.

Macky is home to the College of Music’s Band , Orchestra , Opera , and Jazz http://music.colorado.edu/ensembles/jazz/ programs, CU Present’s Artist Series , and the Conference on World Affairs . Some of our clients include the Boulder Philharmonic Orchestra , Boulder Ballet , Colorado MahlerFest , Greater Boulder Youth Orchestra , TEDx Boulder,AEG Live and Live Nation , as well as University Student Groups such as Program Council , the Distinguished Speakers Board and the Cultural Events Board . Within its walls, Macky Auditorium also houses the College of Music’s Jazz and Choral Studies Departments, the American Music Research Center , the Center of the American West and the Center for Humanities and the Arts .

What Your Key Responsibilities Will Be

Event Administration
  • Assist Macky Director in supervising the operational life cycle of rental events, from building estimates, drafting and routing agreements for signature, cost accounting and invoicing
  • Act as coordination point between Macky production, patron & stakeholder/front of house and administration/HR
  • Supervise compliance with CU regulations: Event Management Forms
  • Act as Manager on Duty as assigned
Marketing & Ticketing
  • Work with Macky Director, clients/promoters, customers, vendors and Macky staff in the successful implementation of marketing strategies and ticketing services within CU and Macky brands
  • Maintain, create/share content and monitor metrics for the Macky website and social media outlets in coordination with clients/promoters (CU Presents, College of Music, renters, etc.)
  • Supervise promotions of Macky rental events on campus: CU Boulder Today and CU Calendar
  • Coordinate with and provide resources to clients/promoters with their ticketing systems (On Sale dates, Box Office/Will Call, etc.)
  • Assist Macky Director in identifying and using a ticketing platform for clients/promoters who require ticketing services, with the goal of increasing Macky’s ticket revenue
Administration & Finance
  • Assist Macky Director in the tracking of Accounts Payable/Receivables related to rental events
  • Maintain compliance with Payment Card Industry Data Security Standard (PCI DSS)
  • Participate in departmental staff meetings
  • Engage broadly in College/University processes, committees, and initiatives
  • Build professional relationships with staff across the College/University, clients/promoters, and colleagues across the industry to enhance the production quality of Macky
What You Should Know

This is currently a 50% part-time position, with possibility for more hours in the future.

This position will require evening or weekend work due to event schedule.

What We Can Offer

The annual salary range for this 50% time position is $28,000 - $30,000. Relocation assistance is available within department guidelines.

What We Require
  • Two (2) years’ experience supervising volunteers, paid staff and/or students
  • Two (2) year of experience working in customer service and hospitality
  • Three (3) years’ professional experience working in a performing arts venue or theater
  • Bachelor’s Degree in Arts Administration, Non-Profit Administration, Fine Arts, or related field. A combination of related, professional experience and/or education may substitute for the required degree on a year-for-year basis
What You Will Need
  • Familiarity with Office 365, Microsoft Office product suite, or Google Apps
  • Ability to establish and maintain effective working relationships and provide high-quality customer service to faculty, staff, artists, visiting production crews and the general public.

What We Would Like You to Have
  • One (1) year experience working with ticketing software such as Vendini, AudienceView or Tessitura
  • One (1) year experience working with event production software such as Ungerboeck and/or VenueOps
  • Four (4) years’ experience in event marketing, public relations or related field
  • Four (4) years’ experience in performing arts administration in a historical venue environment and/or higher education environment
