Position Overview

We are seeking a highly motivated and detail-oriented HR Coordinator to join the Office of Human Resources . Reporting to the Human Resources Generalist, t his cross-functional role is critical in supporting the HR administration of the full employee life cycle and will have a particular focus supporting recruitment and talent management functions, while also ensuring accuracy and compliance with institutional policies and regulations. The ideal candidate will have some experience and/or knowledge of HR basic administration, policies and practices, and a keen ability to leverage and/or learn within the Workday Enterprise modules for efficient operations and optimizing the employee and user experience .

Essential Job Functions :

HR Operations and Administration
  • Utilize Workday to manage employee profiles, job assignments, and payroll information ;

  • Maintenance a ccurate and up-to-date records of employee files and documentation (digital and paper);

  • Collaborate with the HR team to implement and communicate HR policies and procedures related to employment and payroll;

  • Monitor and provide oversight for HR e-mail account, Workday Case Management and HR mail distribution by ensuring timely and accurate distribution of mail and electronic communications to appropriate departments or individuals ;

  • Assist with offer letters, background checks, reference checks, new hire communications, tracking, compliance, entering pay data, and other personnel transactions in Workday ;

  • Coordinate the offboarding process, ensuring proper documentation and updating of records in Workday;

  • Prepares and executes various personnel transactions involving employee recordkeeping, processing of new hires, I-9 processing, pay administration, and recruiting;

  • Maintains an understanding of policies, procedures, regulations, and collective bargaining agreements relevant to human resources;

  • Organizes and processes employee information; develops and maintains reports and queries; assures data accuracy and completeness ;

  • Responds to requests for information; troubleshoots issues, follows up and responds to employee inquiries in a timely manner ;

  • Process department expense reports, invoices, budget requests, and office supplies/re sources as directed;

  • Assists HR managers with employee communications (newsletters, email, targeted outreach) liaison with other members of the organization such as marketing and communications or other division managers; may prepare materials, conduct orientation sessions, and update web pages;

  • Assist with internal and external audits;

  • Performs related duties as assigned ;

  • May serve on campus committees as needed.

Talent and Recruiting Operations Support
  • Assist with coordinating programs, activities, and resources that promote employee engagement, wellness, learning and development ;

  • Coordinate job postings, assist with candidate communications, interview scheduling, and interview scheduling ; support offer letter and other new hire document;

  • Serve as HR administration liaison with the Office of the Provost and other academic operations personnel;

  • Respond to hiring manager inquiries regarding candidate applications, Workday Recruiting functionality, hiring procedures and onboarding;

  • Assist with new hire onboarding presentations;

  • Assist with learning module tracking in Workday for new hire compliance trainings and other off cycle offerings;

  • Assist with periodic training registration for in person and virtual workshops;

  • Other duties as assigned .

Minimum Requirements :
  • Minimum of 1-3 years of relative work experience, preferably within a HR function/ discipline (recruiting, HR operations, payroll, benefits, etc.);

  • Demonstrated experience with organizational and multitasking skills, with a high level of attention to detail ;

  • Ability to handle complex, confidential, and sensitive information with discretion and integrity ;

  • Strong communication and interpersonal skills, with the ability to interact effectively with students, faculty, staff, and external vendors and/or professional consultants ;

  • Demonstrate the ability to own increasingly complex projects/programs with evolving priorities ;

  • Proficiency in Microsoft Office programs (Word, Excel, Outlook, etc.), and remote/virtual meeting/conferencing and collaboration tools (MS Teams, Zoom, etc.).

Preferred Qualifications :
  • Bachelor’s degree;

  • Prior experience in higher education strongly desired ;

  • Strong preference for Workday experience ;

  • Prior experience with payroll, benefits, or recruiting a plus .

Position Details and Work Environment:
  • This is a full time benefits eligible position ( 37.5 hours /week );

  • This position is hybrid ;

  • This is a year-round position within an office environment .
