Description of Duties
SUNY Canton’s Information Services Department seeks qualified applicants for the position of Operations Assistant (SL2 Staff Assistant) to join our team of technology professionals supporting the College’s academic and business functions. This position will provide administrative and operations support to the Assistant Vice President and the Information Services Department. This position is physically located at the SUNY Canton campus in Canton NY.
Responsibilities
The position will report directly to the Assistant Vice President and will work collaboratively with several teams of technical staff and managers, campus employees and students, SUNY agencies, and vendors.
- Serve as the primary point of contact to the AVP for vendors, SUNY agencies, and campus departments. Coordinate scheduling, meetings, travel arrangements when necessary.
- Assists with preparing and managing the operational budgets of the department, including departmental equipment purchasing, annual renewals, reconciliation of purchase cards, and travel reimbursements.
- Track progress of technology purchases, completes receiving and asset tracking, ensuring required documentation is obtained and prepares for related audits.;
- Maintains organized department files and electronic records including purchasing, warranty information, and professional and student employee HR paperwork.
- Assists with the preparation of various reports, presentations, and dashboards for the department.
- Assists with the development, updating, and implementation of policies, practices, procedures, and strategic planning for the department.
- Assists with special projects and working groups by providing administrative support, information gathering, and coordination of activities and communications.
Required Qualifications
- Associates degree from an accredited institution.
- Strong interpersonal skills and abilities to communicate, consult and interact effectively with individuals in individual and group settings both orally and in writing.
- Strong commitment to customer service; strong organizational, time management, problem solving skills; ability to prioritize, multitask and work independently.
- Ability to independently develop solutions for complex and difficult problems and to automate routine/repetitive tasks.
- Advanced proficiency with Office software including MS Office, Excel, PowerPoint.
- Bachelor’s degree from an accredited institution.
- Experience with NYS and SUNY procurement policies, procedures, and business systems.
- Professional experience in a higher education information technology or business environment.
