GENERAL STATEMENT OF DUTIES:

The Student Experience Administrative Manager, a member of the Center for Student Experience and Career Development, serves as a key support staff member of the Center. The position is responsible for overseeing Center administrative operations, and supporting the efforts of student organizations, career services, and new student orientation.

Reports directly to the Executive Director for Student Experience and Career Development.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:

General Center Support:

  • Oversees office reception, including scheduling of appointments, answering phones, general office communication and customer service.
  • Manages general Student Experience, Career Development and Orientation email accounts.
  • Manages Student Office Assistants that assist in reception and office tasks accordingly.
  • Manages the Electronic Sign, including receiving requests and scheduling sign messaging.
  • Manages the posting of posters and flyers within the McCarthy Student Center, including receiving requests and scheduling postings.
  • Responsible for updating social media accounts as instructed, ensuring relevant and timely posts are occurring on all Center social media accounts.
  • Support Center staff in room requests in collaboration with the University's Campus Events staff.
  • Serve as management of all Center for Student Experience and Career Development operations, including spaces overseen by the Center. Work directly with IT for all technology operations, manage inventory of all spaces, and ensure all office equipment and supplies are in place.
  • Serve as a point person for the Center with University Facilities and Information Technology Services.
  • Manage and supervise the Center's student employees and interns, including hiring, Human Resources paperwork, scheduling, and payroll.
  • Responsible for updating all Center website and Sharepoint pages, as instructed and in a timely manner.
  • Coordinate office mail and package receipt, distribution, and shipping.
  • Acts as an active member of the Center team, in support of event management and event coverage for key programmatic initiatives such as: Homecoming, Student Organization Fair, Career Fairs, New Student Orientation programs, Week of Welcome, Admitted Student Receptions, Sandbox, Commencement, etc.
  • Assists in data collection and creating reports related to Center operations, and larger assessment reporting determined by the Executive Director. Prepare and review periodic and annual reports based on department functions for use by Executive Director.

Student Experience Support:

  • Assists Student Experience Manager with the student organization locker spaces and use of the Club Rooms.
  • Supports all Center staff with Modern Campus/RamLink platform maintenance.
  • Assist in logistics for student travel and conference attendance.
  • Assist in coordination of receipt and distribution of prizes for students.

Orientation Support:

  • Assists the Assistant Director of Orientation and Student Experience in orientation-related data, communications and logistics for orientation program.
  • Assists New Student Orientation with Slate Admissions portal.
  • Create, update and maintain databases for New Student Orientation.

Career Development Support:

  • Supports all Center staff with Handshake career platform maintenance, including processing job postings.
  • Schedule appointments for Career Development through Starfish.

General Duties:

  • Actively contributes to a working environment that promotes optimism, collaboration, respect, solutions-conscious dialogue, and exceptional service to everyone.
  • Ensures general compliance with University policies on such matters as attendance, use of compensatory time, and overtime.
  • Serves on various standing and/or special committees of the University as assigned.

WORKING CONDITIONS:

  • Majority of work hours take place in an office environment requiring use of computer and telephone.
  • Working both indoors and outdoors for certain events and activities, includes standing for periods of time, bending, crouching and any other body movements associated with event support.
  • Some evening and weekend hours as events require, with compensation per AFSCME contract.
  • Remote work is allowed when not needed for certain events, activities, meetings and low student presence time periods on campus.


Job Requirements:

MINIMUM QUALIFICATIONS:

  • Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) any equivalent combination of the required experience and the substitutions below.
  • Ability to facilitate conversations amongst students
  • High comfort level navigating a wide range of discussions with students
  • Availability to work or meet in the evenings and/or on weekends
  • Detail oriented, with a focus on organization
  • Ability to express self in oral and written communications professionally, and as a role model to student leaders
  • Ability to work effectively with professional, non-professional, and student personnel
  • Ability to work with a diverse workforce and student population

PREFERRED QUALIFICATIONS:

  • Completion of bachelor's degree
  • Valid driver's license
  • Experience with Banner Student Information System
  • Knowledge of higher education principles, and student development
  • Working knowledge of design software such as Adobe Creative Suite, and Canva
  • Confidence in making administrative/procedural decisions that fall in line with best practice, and professional candor


Additional Information:

This is a full-time, non-exempt, benefits-eligible position in the American Federation of State, County, and Municipal Employees (AFSCME) bargaining unit with a union title of Administrative Assistant I. The bi-weekly pay rate is $1969.30 (grade #15, step #1).
