Job Summary:

Reporting to the Associate Vice President for Academic Affairs and leading a department of 10 staff, the Register is responsible for the operations, policies, processes and technology that manage student academic records in support of academic programs. As a key member of the Academic Affairs leadership team, the Registrar serves as the official manager of the college's student academic records, and is responsible for all FERPA compliance and other regulations. The Registrar is also the College’s central communications resource for policy practices and operations related to student records management.

The ideal candidate has a demonstrated track record of successful project management, has navigated complex priorities and is a results-driven innovative leader. The ideal candidate must have experience in the optimization of technology to advance operations and is a senior-level expert in all aspects of academic records, registration, academic course management and classroom scheduling.

Qualifications:
  • Bachelor’s Degree and five (5) years of directly relevant experience and a successful track record of progressive responsibility.
  • Three years of senior-level records management experience is required.
  • Thorough knowledge of higher education registration processing, grading systems and best practices in academic policy administration.
  • Demonstrated technology skills including knowledge of integrated student database systems and the Microsoft Office Suite. Experience with Ellucian products – Banner and DegreeWorks is strongly preferred.
  • Strong interpersonal skills and a demonstrated ability to work with a variety of internal and external constituencies.
  • Strong working knowledge of federal and state laws pertaining to enrollment, student records, and institutional compliance. Familiarity with AACRAO practices and standards is preferred.
Essential Functions:

Leadership
  • Hire, supervise and develop the Registrar’s Office staff. Prepare, implement and evaluate department goals and objectives. Manage office operations, workflow and ensure continuity and cross-training.
  • Partner with the Associate Vice President for Academic Affairs and the College’s senior leadership to ensure that department’s goals and operational plans align with the institution’s key objectives.
  • The Registrar serves as the Co-Director for the College’s commencement exercises.
Recordkeeping, Data Management & Reporting
  • Provide management, strategic planning, implementation, and evaluation for the Banner Student Information System and act as the Data Custodian for the Student Module.
  • Direct all phases of registration, scheduling, academic record keeping, graduation certification, and generation of academic data.
  • Administer all activities involved with the development and maintenance of student academic records including the determination of official rosters of students eligible to receive degrees and other certifications; the system of graduation audits and recommended graduation lists, the submission of student academic record data to the National Student Clearinghouse.
  • Develop policies and procedures to ensure that the functions of the office operate efficiently and effectively. These include policies for awarding transfer credits, verifying enrollment, changing of grades, and the security of academic records in accordance with FERPA and other pertinent regulations.
  • Collaborate with Institutional Research and Planning on the issuance of periodic and requested enrollment reports.
Technology
  • Administer the Banner Student Information System. Optimize the system and other technology whenever possible to create best-in-class digital processes and user experiences.
  • Partner with Information Technology in Banner testing and optimization including the resolution of errors.

  • Coordinates updates to the College’s undergraduate and graduate catalogs.
  • Utilizes the Ad Astra system for room scheduling.
Compliance
  • The Registrar maintains a comprehensive knowledge of all new and updated governmental and association regulations regarding academic standards and institutional policies; communicate these to all affected areas.
Collaboration
  • The Registrar works closely with the Center for Advising and Academic Services and the Office of Student Financial Services to effectively and efficiently provide assistance to students as needed.
  • The Registrar is a member of the Faculty’s Curriculum Committee.
Customer Service
  • Develop and lead a customer-focused environment and office operations through problem-solving, flexibility, commitment, empathy and inclusivity.
  • Analyze and resolve recurring customer service opportunities through innovation and commitment to excellence.

The Registrar position includes a competitive salary and comprehensive benefit package*. Benefits for this position include but are not limited to the following:

Please note: The primary work location for this position is Poughkeepsie, NY. Initial interviews will be conducted virtually. Finalists will be invited to campus for in-person, socially distant interviews in accordance with the College’s guest policy. Local, on-campus work in Poughkeepsie, NY will be required as a condition of employment.

It is College policy to reimburse eligible newly hired full-time administrative staff members for reasonable expenses incurred in relocating to the area. To be eligible for reimbursement, new employees must move a minimum of 50 miles from their present home; must move within the first year of hire. Generally, the College will reimburse eligible moving and relocating expenses up to $7,000.
