Job Description:

Summary:
The Kogod Financial Operations Department is seeking a motivated and detail-oriented student worker to assist with a variety of administrative and financial tasks. The successful candidate will play a critical role in supporting the department's operations, including correspondence with faculty, staff, and external vendors, processing invoices, student hiring, managing service request tickets, assisting with costing allocations, and providing support with expense reimbursement submissions. The position will report to the Assistant Director, Financial Operations at KSB.

Essential Functions:
  • Assist in drafting and managing correspondence with faculty, staff, and external vendors, ensuring timely and professional communication.

  • Process invoices, including verifying accuracy, obtaining necessary approvals, and ensuring timely payment.

  • Support the student hiring process by coordinating with various departments, assisting with job postings, and ensuring compliance with university hiring policies.

  • Manage and prioritize tickets for various requests received by the Financial Operations Department, ensuring timely resolution or escalation as needed.

  • Assist faculty and staff with cost allocations, ensuring that expenses are correctly categorized and allocated to the appropriate accounts.

  • Provide guidance and support to faculty and staff with expense reimbursement submissions, ensuring compliance with university policies and procedures.

  • Conduct financial analysis and prepare reports as needed to support departmental decision-making.

  • Maintain accurate and organized records of financial transactions, hiring documentation, and other departmental files.

  • Assist with the reconciliation of procurement card transactions and ensure proper documentation and expense allocation.

  • Occasionally deposit checks or cash received to the bank and reconcile appropriately

  • Provide general administrative support, including scheduling meetings, maintaining calendars, and preparing materials for presentations.

  • Support other projects and tasks as assigned by the Financial Operations team.

Salary Range:
  • $19 per hour.

Position Type/Expected Hours of Work:
  • Flexible hours.

  • Typically 15-20 hours per week, depending on the student's schedule and departmental needs.

  • Student worker will be required to work in-person with some hours available for remote work.

Required Education and Experience:
  • Current enrollment as a student at American University, preferably in the Kogod School of Business.

  • Strong organizational skills and attention to detail.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Ability to handle sensitive and confidential information with discretion.

  • Excellent written and verbal communication skills.

  • Ability to work independently and manage multiple tasks simultaneously.

  • Familiarity with financial operations and accounting principles is a plus.

Preferred Education and Experience:
  • Prior experience with Workday or similar financial management systems is desirable but not required.
